G&C Pro 2-Pre-Award Admin

PRE-AWARD SPECIALIST (Grants & Contracts Pro 2, 8222GC). The major function of this position is to work with faculty and provide pre-award support. This position will also serve an important role in measures of research program outcomes and impacts for the College of Veterinary Medicine. This position will also interface closely with other members of the research office team on pre-award efforts. This position reports directly to the Research Office's Administrative Director.

Approximately 0.85 FTE will be directed towards providing pre-award support for college faculty, including:
1. Assist in the preparation and submission of grant proposals, ensuring compliance with both university and sponsor requirements.
2. Understand and convey sponsor and University requirements related to PI/staff eligibility, cost sharing, F&A sharing, budget constraints, and other specifications. Identify solutions to sponsor restrictions and ensure compliance with relevant policies and guidelines.
3. Collaborate with CVM researchers and accounting personnel to develop accurate and competitive project budgets, often incorporating complex sponsor requirements. 4. Provide administrative review of proposal submissions, ensuring all components meet necessary standards and requirements.
5. Manage application forms for proposals using sponsor systems such as ASSIST, Grants.gov, Workspace, Proposal Central, and several small association/foundation sponsors.
6. Provide project management for subaward administration, including the collection of necessary documentation and adherence to sponsor regulations.
7. Prepare and route applications through the University's Minnesota Grants Electronic Management System (MN-GEMS), ensuring timely submission.
8. Liaise with departmental and collegiate administration as well as Sponsored Projects Administration (SPA) throughout the submission process to facilitate smooth coordination.
9. Maintain effective communication with sponsors as needed, addressing inquiries and providing updates on proposal status.
10. Determine whether a given project is a gift, grant, or external sale in keeping with UMN policy.
11. Serve as the designated pre-award specialist for all early career proposals.

Approximately 0.15 FTE will be directed towards providing the pre-award team with data, information, and resources, including:
1. Assist in preparation of proposal and award reports for dissemination to necessary stakeholders (department chairs, CVM Dean, advancement/communications colleagues). 2. Helping to maintain knowledge management for the pre-award team (maintaining the CVM pre-award Google site, sponsor-specific checklists, budget templates, proposal tracking lists, feedback surveys, on-boarding manual/training, pre-award intranet site updates).
3. Helping to develop tools for pre-award use (checklists, budget templates, calculators, job aid tutorials).

• BA/BS plus two years of experience or a combination of related education and work experience to equal six years.
• Experience performing administrative, budgetary, or grant-related duties.
• Experience in technology and software as related to the needs of the position, such as grants management proprietary software programs, Excel, and other electronic proposal submission systems such as Grants.gov, NIH ASSIST, ProposalCentral, etc.
• Ability to simultaneously work on multiple projects with fixed deadlines and ability to re-prioritize tasks as needed to successfully meet all deadlines.

Preferred Qualifications:

• Experience working in higher education.
• Eagerness to learn new tools to enhance operational efficiency and reporting.
• Administrative, financial, or other experience with clinical research.
• Experience with sponsor grant databases (e.g., NIH RePORTER) and funding opportunity databases (e.g., Pivot).
• Excellent team member skills and the ability to effectively interface with all levels of the organization (students, staff, faculty, central administration).
• Ability to work independently with a high level of initiative, accountability, and follow-through on complex and sensitive issues
• Effective problem identification and problem solving skills.

Pay Range: $31.25-$33.65/hr; depending on education/qualifications/experience
