About the Job

80% (25 hours) -
General administrative support & office management
Serves as front desk administrative support for the Division's main office.
Greets and assists faculty, staff and visitors; provides general information and resource support including timely mail and package processing. Prepares and coordinates outgoing mail, including FedEx, UPS, USPS, DHL and Campus Courier shipments.
Triages all phone, email and fax inquiries for idimdivision account. Electronic scanning for filing and records management
Inventories office supplies and orders replacement supplies as needed. Maintains supply levels for office machines.
Works with vendors, pay invoices, reconcile divisional costs.
Troubleshoots technology issues. and reports and tracks facilities issues.
Coordinates and maintains departmental conference rooms including reservations in Google Calendar. (includes B408 rsvp and reminders). Maintains and cleans main office, touchdowns.

Work with team members and perform various duties as assigned:
Data management, including creation of Excel and Google spreadsheets. Examples: computer and printer inventory, pagers and OIT reconciliation, billing, audits, management, tracking and documentation
Maintaining faculty CVs in Works
Compilation of mailing lists; including maintenance of directories, quarterly phone directory update and distribution, organization charts and list servs
Reassign, recycle or order technology, as needed.
Project support as assigned by administrative team and leadership.

15% (5 hours) - Student oversight and project support
Prepare student worker materials, guides and documents
Participate in student recruitment efforts
Be available to student workers for questions and support
Work with leadership to prioritize, assign and monitor student projects and tasks.
Guide and train incoming students

5% (2 hours) - Other duties as assigned
Provides support to administrative staff and faculty for special projects or tasks, as needed. Cross coverage

Qualifications

All required qualifications must be included in the application materials

Required Qualifications:
One year of experience in a general office setting and/or training beyond high school is required. General office skills at the intermediate level.

Preferred qualifications:
Experience working in higher education or healthcare setting, preferred.
Temporary Administrative Support

Pay and Benefits

Pay Range: $15.25 - $20.00 per hour; depending on education/qualifications/experience.
