About the Job

The Assistant Director for Academic Scheduling provides both technical and operational leadership for practices, procedures, and University policies for scheduling in campus learning spaces, as well as manages all aspects of the University's PeopleSoft class database and academic scheduling, including class and final exam scheduling institution-wide, room scheduling, and providing system administration for University-wide room scheduling software ensuring continuous process improvements, and supporting system upgrades to optimize performance and functionality. This position leads and supervises the academic scheduling team and room scheduling system administration. They also assist in setting overall OCM goals and identifying opportunities to improve and maintain policies for scheduling and operations in campus learning spaces. An ideal candidate will have strong communication skills, both written and verbal, to effectively work with faculty, staff, and students.

They will be detail-oriented, ensuring data accuracy and system integrity, while also demonstrating excellent organizational and leadership skills to manage multiple priorities efficiently. Academic Support Resources supports hybrid and flexible working arrangements. Work arrangements are determined in coordination with supervisors depending on the nature of the unit and position. The work arrangement for this position will be hybrid, requiring a weekly on-campus presence. The specific schedule will be determined upon hire, in collaboration with the employee and supervisor. This position is primarily remote, with some on campus time, which will be one day a week.

Job duties:

Class Scheduling, Database Management, and System Integrity (50%)
* Oversee the management of the class database and academic scheduling, including the creation and implementation of class schedules, final exam schedules, and classroom assignments across all campuses.
* Serve as the primary resource for the PeopleSoft Schedule of Classes, ensuring data accuracy and assisting academic department schedulers.
* Serve as the business process owner for academic scheduling and room assignments.
* Manage production schedules, deadlines, and coordination with department schedulers to maintain an efficient and timely scheduling cycle.
* Work with Room Scheduling Software analysts to ensure quality control through testing, including creating test conditions, performing tests, and reporting defects.
* Assist in maintaining system databases to ensure data integrity and consistency. Customer Support, Training, and Institutional Liaison (20%)
* Provide excellent customer service to faculty, staff, students, and other scheduling system users, addressing scheduling-related inquiries and best practices.
* Resolve scheduling conflicts or issues in collaboration with academic departments to ensure the system meets the needs of faculty, staff, and students.
* Develop and maintain documentation and training resources for system users, ensuring smooth operation and efficient usage of scheduling tools.
* Act as the institution-wide resource for class and room scheduling software, bridging the gap between academic units and central administration to address information requests and resolve scheduling concerns.
* Serve as the subject matter expert on academic class scheduling and room scheduling systems, ensuring alignment with institutional needs.
Supervisory and Team Management (20%)
* Supervise and mentor the central scheduling team of five FTEs, overseeing hiring, performance evaluations, training, and professional development
* Set clear team objectives, establish workflow standards, and ensure adherence to best practices in business processes, testing, customer service, and operations.
* Manage scheduling unit operations, resource allocation, and process mapping, ensuring optimal team performance and efficient resource utilization.
* Foster a collaborative and supportive team environment that encourages continuous learning and professional growth.
Other and Professional Development (10%)
* Continuously expand knowledge of scheduling systems and stay current with emerging industry trends, best practices, and new technologies.
* Participate in ongoing professional development activities and serve on relevant committees or task forces, contributing expertise to cross-functional initiatives.
* Share knowledge with team members and stakeholders to promote a culture of continuous improvement and innovation.
* Collaborate effectively with other ASR and University staff.
* Attends various ASR-related meetings as an OCM representative

Qualifications

Required Qualifications
* BA/BS plus at least ten (10) years of experience, or master's degree plus at least eight (8) years of experience.
* Two or more years of work experience in higher education
* Experience with student information systems (e.g. PeopleSoft, Banner, Workday, etc.) and familiarity with room scheduling systems (e.g. Astra, CollegeNet, EMS).
* Strong problem-solving skills, with the ability to identify, analyze, and resolve system issues.

Preferred Qualifications
* Prior experience leading teams (e.g. as a lead, supervisor, manager, project manager, etc.), including setting objectives, guiding team members, and providing support for professional development

Pay and Benefits

Pay Range: $99,000 - $106,000; depending on education/qualifications/experience

Time Appointment Category: 75%-100% Appointment (If job description above does not specify appointment or expected weekly hours, assume a 100% appointment.)
