About the Job

This is a 2 year temporary position with the possibility of extension dependent on available funding.

Position Responsibilities: The Program Administrative Assistant provides essential administrative support for the departmental leaders of The Raptor Center, with a primary focus
on supporting education and clinic department initiatives. These initiatives include key priorities for the center, including supporting the operations of our education grant-funded
initiatives, such as working with schools and community partners, as well as our global professional training offers that occur onsite at TRC, virtually, and at global partner locations.

Essential Functions
General TRC Admin support (40%)
* Assist with general tasks such as ordering and purchasing for the center, travel arrangements and reimbursements, meeting logistics and minutes, internal staff communications, office equipment maintenance and inventory, generating reports, maintaining, updating, and documenting office procedures; assist with special events
* Take the primary lead on administrative aspects of hiring and new employee onboarding
* Manage TRC UMN accounts (passwords, expiration dates, etc.); out-of-state education permits; van leases and maintenance

Education program support (30%)
Primary administrative support for school solicitations for grant programming, including creating new and evaluating existing approaches, coordinating with TRC scheduling and education teams, and serving as a member of the education grant programming team
* Manage/coordinate partnership communication for K-12 programming
* Provide assistance in arranging transportation and other details of long-distance offerings
* Write monthly grant budget reports for unit director
* Lead monthly grant check-in meetings

Admin support for on and off-site professional teaching (15%)
* Work with team members to schedule and market offerings
* Manage course registration sites in the University course registration system
* Support registrants for technical issues
* Attend online offerings as requested, providing Zoom admin support
* Work with CVM on getting and maintaining RACE certification; assist with creating and sending CE certificates
* Coordinate on-site workshops such as hotels, space, food, shuttles, etc.
* Assist with the admin components of hiring interns - advertising, helping post/update VIRMP site. receiving and organizing applications, scheduling interviews
* Assist clinic staff in scheduling visiting vet students, vets, and peer professionals, obtaining required documentation/paperwork

Admin support for gift store and front desk (10%)
* Assist with ordering and Pcard transactions
* Assist with tracking sales and inventory to help increase revenue
* Provide back-up to front desk as needed, which includes receiving public calls regarding injured raptors, answering questions, and arranging rescue and transport of injured birds

Other duties as assigned (5%)

Hours:
40 hours per week; full-time. Primarily Monday-Friday, but could require occasional weekends or evenings for special events. This is a hybrid eligible position with the ability to work remotely
1-2 days a week, subject to the units' needs following the completion of the probationary period.

Qualifications

Minimum Qualifications:
* BA/BS or a combination of related education and work experience to equal 4 years.
* Experience networking and engaging with public educators in both urban and rural Minnesota, specifically in grades 1-12
* Experience working with dynamic and complex scheduling
* Experience with and demonstrated success of comprehending, tracking, and meeting education-focused grant deliverables with grants over $150,000
* Proficiency in MS Office (Word, PowerPoint, Excel)
* Strong organizational skills with the ability to multitask
* Excellent written and verbal communication skills with a detail-oriented aptitude
* Demonstrated ability to problem solve and to work independently
* Experience in, and an ongoing commitment to, a culture of diversity, equity and inclusion; working effectively with and across diverse communities: e.g. people of color, underrepresented groups; people with both visible and invisible disabilities; women; people of various gender and sexual identities and expressions; and first-generation students from economically disadvantaged backgrounds

Preferred Qualifications:
* At least two years of experience working as an administrative assistant or specialist at a University or at a county, state, or federal governmental organization
* Demonstrated project management experience with environmental programs and staff
* Passion for wildlife, conservation, or environmental science
* Demonstrated ability and flexibility to work successfully with a diverse group of internal and external clients

About the Department

Established in 1974 as part of the University of Minnesota College of Veterinary Medicine, The Raptor Center (TRC) is first and foremost a hospital for ill and injured raptors, caring for over 1,000 birds annually. As an internationally renowned veterinary teaching hospital, TRC trains students and professionals from around the world to become future leaders in raptor medicine and conservation and conducts multi-disciplinary ecosystem health research. In addition, TRC has a substantial education and outreach program to educate and inspire the public. Using raptor ambassador birds, TRC's education team uses innovative methods to reach over 100,000 people annually through a variety of programming at on and offsite venues and through virtual technology https://www.raptor.umn.edu . All of this work is done with the assistance of a cohort of more than 300 volunteers. While part of the University of Minnesota, The Raptor Center functions as a nonprofit organization relying on philanthropic donations for the majority of its budget.

Pay and Benefits

Pay Range: $25.96 - $26.92 per hour; depending on education/qualifications/experience

Time Appointment Category: 75%-100% Appointment (If job description above does not specify appointment or expected weekly hours, assume a 100% appointment.)
