TITLE: HMIS Data Entry Analyst

SUPERVISOR: Guardianship Program Manager/Supervisor of Unhoused Initiatives

STATUS: Non-Exempt

GRADE: 2

SALARY: $15.08

The incumbent functions as a Data Entry Analyst that will be responsible for inputting accurate data into the Homeless Management Information System (HMIS) and Efforts to Outcomes (ETO) software systems and ensuring accuracy of data entry by running frequent system reports.

The work environment is fast paced, with time sensitive issues and individuals in distress or in extremely difficult situations. The incumbent is expected to handle sensitive situations, maintain a professional demeanor, and a positive attitude in a high-pressure environment.

Knowledge, Skills, and Abilities

  • Be proficient in HMIS and ETO software systems and remain updated on training addendums.
  • Input case notes and other data into HMIS and ETO software systems.
  • Work with Intensive Case Managers to collect and input data into HMIS and ETO systems in a timely manner.
  • Works with partners (Welcome Center, Opportunity Center, Salvation Army, Rescue Mission, etc.) to collect data and run reports for program.
  • Check/run monthly HMIS, ETO and PHIX reports to ensure accuracy of data entry.
  • Compile and submit data for City reports (Ethnicity reports & monthly Units of Services).
  • Create client hard files and ensure completeness and accuracy of files through a quality control system.
  • Complete follow-up reports and activities including satisfaction surveys and informs appropriate staff as to the outcome of assignments made involving support to clients.
  • Assist Unhoused Initiatives walk-in clients when Intensive Case Managers are unavailable.
  • Provide support to the Accounting Specialist as needed.
  • Becomes familiar with the agency's procedural manuals, personnel manual, training materials, contractual requirements, and internal forms necessary to meet the needs of the Intensive Case Manager position.
  • Experience using HMIS and ETO software systems preferred but not mandatory.
  • Completes other duties as assigned by the Guardianship Program Manager/Supervisor of Unhoused Initiatives, COO of Social Services and/or Chief Executive Officer.



Essential Requirements

Must have a minimum High School diploma. Associate degree preferred.

Experience with data entry and familiarity with administrative duties and typing speed, and accuracy (minimum of 35 wpm with 95% accuracy).

Strong attention to detail, detail oriented.

Excellent skills in writing and professional communications.

Proficient with MS Office, HMIS/ETO (preferred), and computer software.

Able to maintain confidentiality working with sensitive information.

Ability to attend training and other sessions which may be scheduled after working hours.

Must have a current driver's license and show evidence of meeting state requirements of having the appropriate level of automobile insurance.

Able to lift and carry up to 35 pounds (from time to time).

Must agree to undergo background check by law enforcement as well as a drug test. Results must show that the person has not been convicted of an offense nor have a positive drug test result.

Verbally communicate in English & Spanish.

Funding for this position is through a grant or contract received by the agency. As with all funded programs, the position is contingent upon continuation of funding.

Evaluation: A review of performance is conducted at the end of the first three months of the initial introductory period, and upon completion of twelve months from the date of hire, and every twelve months thereafter.
