In this role, you will be the linchpin in ensuring product samples move seamlessly from concept to collection, directly impacting the success of upcoming seasonal launches and bringing exciting new designs to life.

Are you a master organizer with a keen eye for detail, ready to be the backbone of a dynamic merchandising team? We are looking for a proactive and meticulous individual to take on a critical role in managing the lifeblood of our client's seasonal collections: their product samples. As a Sample Coordinator, you will be the go-to expert for all things sample-related, from timely arrivals and meticulous organization to essential tracking and communication. Your exceptional organizational skills and proactive approach will directly contribute to keeping product development on schedule and ensuring the merchandising team has everything they need to succeed. If you thrive in a fast-paced environment and want a role where your precision and dedication make a tangible impact, this is your opportunity to shine and grow.

What You'll Do

  • Ensure timely arrival of samples for each seasonal flow and proactively follow up on any delays.
  • Efficiently receive, log, and organize all incoming samples, with a particular focus on managing weekend deliveries that arrive on Mondays.
  • Maintain precise receiving records and tracking logs for every sample, ensuring data accuracy.
  • Provide the Merchandising team with regular, clear updates on sample arrivals, delays, and any potential timeline impacts.
  • Cultivate strong working relationships with Merchandise Assistants across various brand teams.
  • Extract critical product details from various internal systems to compile comprehensive copy fact sheets.
  • Offer valuable support to the broader team on diverse projects and daily operational needs.

Schedule Details

  • This is a part-time position, requiring 3 days per week onsite, with Monday through Wednesday being the preferred schedule.
  • Monday attendance is crucial due to the influx of weekend sample deliveries.
  • Typical hours are 9:00 AM to 4:00 PM, with occasional extensions to 5:00 PM as needed.
  • During peak intake periods (approximately 3 to 4 weeks each quarter), you may be requested to work full-time hours to manage increased volume.
  • December is a significant peak month with a substantial increase in sample shipments.

What You Bring

  • 1+ years of experience in sample coordination, merchandising support, product development, or a similar role within the retail or apparel industry.
  • Ability to work onsite 3 days per week (Monday through Wednesday preferred).
  • Flexibility to transition to full-time hours during peak periods, including the month of December.
  • A strong interest in committing to a longer-term role beyond the initial 3-month contract.
  • Exceptional organizational skills and meticulous attention to detail.
  • Clear, proactive communication skills, especially when managing shifting timelines.
  • Comfortable with learning and navigating multiple internal systems; experience with PLM or product databases is a plus.
  • Proficiency in Excel or Google Sheets for tracking and record-keeping.
  • The ability to remain composed and effective while managing fluctuating sample volumes.

Nice to Have

  • Experience within the apparel, accessories, or general retail merchandising sectors.
  • Familiarity with seasonal calendars and product development flows.
  • Prior experience in writing or assembling product copy or fact sheets.
