Ameresco has a new opportunity for a Safety Administration Specialist. This role provides administrative, analytical, and operational support to the Safety & Risk Management Department. This position serves as a central resource for maintaining safety records, tracking employee training and qualifications, developing reports and presentations, and coordinating activities among regional and corporate safety managers across the East Coast.

Responsibilities:

  • Safety Records Management: Maintain electronic safety records, training documentation, certifications, qualification files, and compliance databases; Ensure safety documentation is accurate, current, and readily available for audits, inspections, and management review; Assist in maintaining OSHA, regulatory, and company-required documentation; Monitor expiration dates for training, certifications, medical surveillance requirements, and qualification renewals; Support document control activities for safety plans, procedures, forms, and corporate safety programs.

  • Training Administration: Track employee training assignments and completion status through Learning Management Systems (LMS) such as Vector Solution; Generate training compliance reports and distribute notifications regarding upcoming due dates and outstanding requirements; Coordinate training enrollments, equivalency reviews, and qualification assignments; Assist with onboarding and orientation tracking for new employees; Support regional safety managers in verifying employee qualifications for project-specific work.

  • Data Analysis and Reporting: Compile and maintain performance data; Develop recurring reports related to training compliance, inspections and audits, incident and injury metrics, corrective action tracking; Create charts, dashboards, scorecards, and executive summaries for management review; Assist with preparing monthly, quarterly, and annual safety performance reports.

  • Presentation Development: Prepare professional presentations for leadership meetings, safety committee meetings, customer reviews, and corporate communications; Convert technical safety information into clear visual presentations and executive-level summaries; Assist with development of safety campaigns, awareness materials, lessons learned, and training communications.

  • Regional Coordination: Serve as an administrative liaison between East Coast safety managers and corporate safety leadership; Coordinate department meetings, action item tracking, and follow-up activities; Maintain calendars, schedules, and communication lists for safety initiatives; Collect and consolidate information from multiple regions into standardized reports; Support implementation of company-wide safety programs and initiatives.

  • Administrative Support: Assist with scheduling meetings, preparing agendas, and documenting meeting minutes;Maintain departmental databases and SharePoint resources; Support audit preparation and corrective action tracking; Assist with special projects assigned by safety leadership; Participate in continuous improvement efforts related to safety processes and reporting systems.

  • Other duties as assigned.

Minimum Qualifications:

  • High School Diploma or an equivalent.

  • Minimum of three (3) years of experience supporting a safety, environmental, construction, industrial, energy, or other related field operations organization.

  • Demonstrated experience creating reports, presentations, and data summaries.

Additional Qualifications:

  • Experience supporting a safety, environmental, construction, industrial, energy, or field operations organization

  • Strong organizational, planning, and time management skills.

  • Advanced proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.

  • Excellent verbal and written communication skills.

  • Ability to manage confidential information appropriately.

  • Ability to work independently and prioritize multiple tasks in a fast-paced environment.

  • Experience with Learning Management Systems (LMS), such as Vector Solutions.

  • Experience with Power BI, SharePoint, or other reporting tools.

  • Familiarity with OSHA regulations and corporate safety management systems.

  • Experience working with geographically dispersed teams is preferred.
