We are currently seeking:

Medical Staff Coordinator will be responsible for the following:

Perform and monitor administrative tasks associated with providers for temporary, emergency, initial or recredential privileges. Responsible for credentialing/privileging new applicants and reappointments. Coordinates the OPPEand the Observer processes.

Initial/Temporary/Emergency Appointments and Provisional Reappointments Process and monitor all applications for medical staff provider credentialing through completion

  • Applications and processing are in compliance with standards, regulations and guidelines.
  • The applications are processed within required timeframes.
  • Medical staff are in compliance with Bylaws, Rules and Regulations.
  • Information on policies and procedures is effectively communicated.
  • Presentations for approval are organized and timely.
  • Status reports are organized, accurate and timely.
  • Correspondence is timely, professional and accurate.

Committee Support

  • Minutes are prepared in an accurate and timely manner (usually within 1 week).
  • Meeting packets are organized and distributed in a timely manner (1 week before meeting).
  • Assistance with other administrative/organizational needs are provided to the chair.

Files and Database

  • Maintains accurate and current files both paper and computer, including MSO website.
  • Any file pulled is up to date and current.
  • Documents are filed in the appropriate location.
  • Database is always accurate and current.
  • There is no backlog filing.

Function as resource person for medical staff providers, departments and other personnel.

  • Representation of the office is appropriate and professional.
  • Information provided on policies and procedures is accurate and effectively communicated.
  • Requests of assistance are responded to in a timely and accurate manner.

Serves as the system administrator for the CACTUS database. As transition to MIDAS + Provider credentials database occurs will serve as backup administrator for system.

  • Coordination and implementation of system expansions, upgrades and interfaces are effective and efficient.
  • User codes are assigned promptly and accurately.
  • Assignment of user codes is tracked in an organized manner.
  • User questions and systems problems are resolved efficiently and effectively.
  • Generates statistical reports, directories, labels and other information as requested.
  • Troubleshoots data and systems problems with the IS departments

Perform all National Practitioner Databank and other queries as necessary. Coordinate payment of invoices and track expenses.

  • All queries are performed in a timely and thorough manner.
  • Confidentiality is maintained.
  • Invoices are paid promptly.
  • An organized system of tracking expenses and payments is maintained.

Participates in projects associated with the regulatory and accrediting agencies such as JCAHO, NCQA, and DCRA in addition to other outside organizations and Medicare.

Administrative Responsibilities

  • Creates and distributes correspondence related to credentialing activities as necessary to departmental activities and the processing of files.
  • Provide administrative support to Medical Staff Committees (Executive, Credentials, Fast Track Credentials, Board Credentials, Perinatal, Critical Care and others as needed) including preparation of minutes, distribution of agenda and minutes and other necessary actions.
  • Performs a variety of service and administrative tasks that are shareable by all so that the needs of the customer and fellow team members are met in a timely manner.

Qualifications

Qualifications

  • Combination of training and experience is necessary; extensive knowledge of medical terminology required.
  • Minimum of 3-8 years experience in health care credentialing, privileging and medical staff services
  • CPMSM Certification by National Association of Medical Staff Services (NAMSS) preferred

  • Good organization and strong interpersonal relationship skills; communication skills (verbal and written)
  • Customer-service oriented towards physicians and other hospital employees
  • Ability to learn quickly and function in a fast-paced environment with frequently changing priorities
  • Must be able to receive and provide verbal feedback in a professional manner

  • Microsoft Office and data entry skills require
  • Knowledge of medical terminology a plus
