Senior Transaction Analyst / PMOPosition Overview The Senior Transaction Analyst / PMO (Project Management Office) serves as the operational backbone for real estate transaction execution and portfolio governance. This role ensures seamless coordination across transaction teams, maintains rigorous process standards, and drives performance excellence through structured oversight and stakeholder management. The position acts as the central point of control for transaction workflows, quality assurance, and reporting, ensuring all activities align with client requirements and JLL best practices. Key Responsibilities Governance & Process Management Establish and enforce transaction governance frameworks that ensure consistency, quality, and compliance across all portfolio activities. Develop and maintain standard operating procedures, workflow documentation, and process guidelines for transaction execution. Monitor adherence to established protocols and escalate deviations or risks to appropriate stakeholders. Conduct regular process audits and quality reviews to identify gaps and implement corrective actions. Maintain documentation standards and ensure complete, accurate records throughout the transaction lifecycle. Manage approval workflows and signature authority processes to ensure proper authorization at each transaction stage. Performance Management & Reporting Track and report on key performance indicators including transaction timelines, milestone completion rates, cost savings, and service level agreement compliance. Create executive dashboards and scorecards that provide real-time visibility into portfolio performance and transaction pipeline status. Conduct regular performance reviews with transaction teams to assess progress against targets and identify improvement opportunities. Analyze performance trends and patterns to proactively address issues before they impact delivery. Prepare comprehensive monthly, quarterly, and annual reports for client leadership and internal stakeholders. Benchmark performance against industry standards and peer organizations to drive competitive excellence. Program & Project Coordination Support cross-functional project teams through complex, multi-phase initiatives such as portfolio restructuring, lease expiration management, or footprint optimization programs. Develop detailed project plans with clear milestones, dependencies, resource requirements, and success criteria. Facilitate regular status meetings, steering committees, and working sessions to maintain alignment and momentum. Manage project risks and issues logs, ensuring timely resolution and stakeholder communication. Coordinate deliverables across multiple workstreams including brokerage, legal, workplace strategy, project management, and finance teams. Ensure seamless handoffs between transaction phases and functional teams to prevent delays or information gaps. Stakeholder Management & Communication Serve as the primary point of contact for operational inquiries and process-related questions from transaction teams and clients. Build trusted relationships with internal and external stakeholders through proactive, transparent communication. Facilitate decision-making by preparing briefing materials, options analyses, and recommendation summaries for leadership review. Manage expectations by providing realistic timelines, identifying constraints, and proposing practical solutions to challenges. Conduct regular check-ins with team members to understand workload, remove obstacles, and provide support. Represent the PMO function in client meetings, presenting performance updates and process improvement initiatives. Quality Assurance & Risk Management Implement quality control checkpoints throughout transaction workflows to catch errors before they reach clients or counterparties. Review critical documents including letters of intent, lease abstracts, transaction summaries, and executed agreements for accuracy and completeness. Identify compliance risks related to client policies, legal requirements, or contractual obligations and ensure appropriate mitigation. Maintain issue tracking systems and ensure timely resolution of problems impacting transaction progress. Develop contingency plans for high-priority transactions or critical milestones to minimize disruption. Monitor service delivery against client expectations and intervene when performance gaps emerge. Process Improvement & Change Management Lead continuous improvement initiatives to enhance efficiency, reduce cycle times, and improve stakeholder satisfaction. Gather feedback from transaction teams and clients to identify pain points and prioritize enhancement opportunities. Design and implement process improvements including revised workflows, updated templates, and enhanced communication protocols. Support technology implementations by defining requirements, testing functionality, and managing user adoption. Develop training materials and conduct knowledge transfer sessions to ensure consistent application of new processes. Champion best practice sharing across teams and markets to elevate overall organizational capability. Qualifications Required Bachelor's degree in Business Administration, Project Management, Operations Management, or related field. Minimum 4-6 years of experience in project management, program coordination, operations, or transaction support roles within commercial real estate. Strong understanding of real estate transaction workflows including lease negotiations, documentation, and execution. Proven track record establishing and maintaining governance frameworks and performance management systems. Exceptional organizational skills with ability to manage multiple competing priorities and maintain attention to detail. Demonstrated experience facilitating cross-functional collaboration and driving accountability across teams. Excellent written and verbal communication skills with ability to influence stakeholders at all organizational levels. Proficiency in project management tools, reporting platforms, and Microsoft Office Suite. Work Environment This position operates in a professional office environment with hybrid work flexibility. The role requires regular collaboration with internal teams and clients via phone, video conference, and in-person meetings. Occasional travel may be required for client meetings, team workshops, or site visits. This position does not provide visa sponsorship. Estimated compensation for this position: 132,000.00 - 132,000.00 USD per yearThis range is an estimate and actual compensation may differ.
