POSITION SUMMARY
This position is responsible for providing day-to-day support and assistance to the employee population as part of the Human Resource Team, while ensuring optimum effectiveness and efficiency of HR programs, initiatives, and communication. Specific functional areas of responsibility will include, but are not limited to Payroll, New Hire Onboarding and Orientation, Unemployment Compensation, Worker's Compensation, Incident and EEO reporting and compliance, Rewards & Recognition.
ESSENTIAL FUNCTIONS:
To perform this job successfully, an individual must be able to perform each of the following essential functions satisfactorily.
- Process multi-state bi-weekly company payroll in accordance with all federal, state and local regulations ensuring compliance with all company policies and statutory compliance.
- Responsible for accurate set up and system maintenance of State Withholding, SUI and local tax accounts and rates and registration of new accounts when required. Address and resolve any tax discrepancies or issues as needed. Find and correct errors in a timely manner to ensure accuracy of payroll tax withholding, minimizing potential penalties.
- Review and submit garnishments, levies, and family court orders to HRIS for proper set up and monitor for ongoing accuracy.
- Work with HRIS representatives to set up new earnings, deductions, tax and memo codes as needed ensuring appropriate taxing and compliance with company policy are upheld.
- 401k plan oversight including employee enrollment, loan approvals, distribution/rollover requests, compliance testing and audit information requests.
- Maintain knowledge of pertinent federal and state regulations and best practices affecting payroll and employee benefit programs. Keep current on all federally mandated mailing requirements and ensure they are followed to ensure compliance.
- Become proficient in all aspects of the HRIS to assist managers and employees in navigating the system to submit or access relevant information as well as create and prepare various reporting requirements as requested from Management team members.
- Manage unemployment claim process and employment verifications, ensuring that all requests for information are completed in a timely and accurate manner. Research and gather appropriate documentation in preparation for unemployment compensation hearings and participate in hearings as needed.
- Record and monitor all Company incidents, comply with OSHA record keeping regulations, report to Safety Committee as needed. Oversee Worker's Compensation program, providing information and follow up as needed for claims.
- Prepare and submit annual EEO and VETs 100 compliance reports to the government agency as needed.
- Oversee Rewards & Recognition program by communicating to managers and staff to solicit nominations, consolidating all nomination information to share with Executive Team.
- Research and maintain compliance for federal, state, and local posting requirements.
- Administer and manage the new hire onboarding process ensuring that all required information and activities are completed and processed appropriately in the necessary timeframe. Manage non-compete agreements ensuring that all employees are provided with the correct agreement for signature.
- Conduct new employee orientation and answer questions to provide a positive and professional entry into Catalyst for the new hire.
- Manage the I9 process using eVerify within the Paycom system and resolving any issues as necessary to ensure compliance.
- Administer and manage the employee offboarding process including exit interviews, user access removal communication, preparation of benefit termination letters, etc.
- Verify and maintain employee credentials. Communicate and share relevant information with managers and clients as necessary.
- Update and launch annual and new hire compliance training. Track completion of training in a timely manner.
- Maintain and monitor confidential employee data files to ensure requirements are met and audit is completed accurately.
- Manage the Catalyst uniform inventory, monitoring quantities, responding to requests for replacements, providing to new hires, replenishing as needed.
- Submit monthly HR expense reports via Concur ensuring appropriate backup documentation is received in a timely manner.
- Respond to employee questions and issues promptly, closing the loop on communication using superior customer service skills.
- Special projects and additional duties as assigned.
Minimum Qualifications:
- Bachelor's Degree in Human Resources, Business Administration or related field preferred, or equivalent training/work experience.
- Minimum of 3 years of HR Generalist experience.
- Proficient with, or the ability to quickly learn the organization's HRIS system (Paycom).
- Excellent written and verbal communication skills.
- Strong analytical and problem-solving ability, along with exceptional attention to detail.
- Time management skills with a proven ability to meet deadlines and adapt to changing priorities in a busy work environment.
- Valid Driver's License

- Work is performed remotely and occasionally in a semi-quiet office setting
