To be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement. HVCC does not support Visas. Applicants must be either a U.S. Citizen or U.S. Lawful Permanent Resident of the United States and appointment will be contingent upon completion of a background check.

MINIMUM QUALIFICATIONS: Bachelor's Degree from an accredited college or university and two (2) years of experience working in a technology-based office environment and a solid understanding of network security fundamentals OR Associate's Degree from an accredited college or university and five (5) years of experience as listed above. Skilled in utilizing data analysis tools and interpreting complex datasets, along with an understanding of IT documentation, verbiage and office functionality required. Strong written and verbal communication skills, excellent organizational abilities, and high attention to detail. Proficiency with Microsoft 365 applications including Word, Excel, Outlook, PowerPoint, SharePoint, and Teams required. Ability to manage confidential information with discretion and professionalism. Ability to work independently, prioritize competing demands, and coordinate across multiple departments is required. Valid NYS Driver's license required.

PREFERRED QUALIFICATIONS: Experience in a higher education administrative environment, in Information Technology (IT) related administrative environment. Familiarity with enterprise IT systems (e.g. PeopleSoft, Salesforce, Banner), service management processes, and inventory control are preferred. Experience in creating and updating policies and procedures to ensure campus-wide understanding and compliance is also preferred.

Nature and Scope of Duties: The Operations Assistant, Instructional and Information Technology (IIT) Department, is a departmental support position within the College's Instructional and Information Technology organization. The role provides administrative, technical, and coordination support for IIT functions, including Enterprise Operations, Networking, Infrastructure, Web, and cross-campus technology initiatives. This position supports departmental leadership, governance activities, and operational functions of the IIT Department by assisting with coordination, documentation, communication, and data management activities that contribute to the effective operation of the IT division.

The Operations Assistant reports to the Chief Technology Officer or their designee and performs the following duties:

* Assists with data collection, reporting, and analysis related to IIT operations, projects, compliance, and institutional reporting, using Microsoft Excel and other reporting or dashboard tools as appropriate.
* Supports departmental planning and day-to-day operations by maintaining schedules, tracking milestones, and monitoring action items across IIT initiatives.
* Creates, maintains and organizes departmental documentation, policies, procedures, records, and knowledge base materials to support continuity, transparency, and effective internal communication.
* Assists with budget tracking, expenditure monitoring, and procurement activities for the IT division, including preparing purchase requisitions, tracking approvals, maintaining records, and supporting annual budget planning activities.
* Prepares professional correspondence, reports, presentations, and summaries related to IIT operations, planning activities, and governance efforts for campus leadership, committees, and stakeholders.
* Supports IT governance, planning, and committee work by coordinating meetings, preparing agendas, recording and distributing minutes, and maintaining documentation for councils, steering committees, and project teams.
* Coordinates logistics for IIT initiatives, projects, audits, and campus-wide technology activities, ensuring deadlines, deliverables, and communications are tracked and supported.
* Supports the intake, tracking, and internal routing of inquiries and requests for the IIT Department, assisting departmental leadership and staff by ensuring requests are documented and directed to appropriate IT teams or processes as needed.
* Supports onboarding, coordination, and communication activities related to IT staff, student employees, consultants, and vendors as assigned by departmental leadership.
* Performs other duties as assigned.

This is a 12-month, Full-Time position with a salary range of $50,000-$55,000.
