Position Overview:

The Relationship
Associate II - Private Banking provides administrative and financial support to
designated Private Bankers in a high-volume, deadline-driven environment.
Responsibilities include opening deposit products, preparing loan origination
documentation, servicing existing depository products, and processing client
account requests. This role supports Business Bankers in all aspects of
customer service as needed, offering exceptional personal service and expertise
to high net-worth individuals, commercial clients, and their related entities.
Acting as the key point of contact between the client and all areas of the
bank, the Relationship Associate II ensures a positive customer experience
through timely follow-up and resolution of issues. Additionally, this role
fosters Broadway Bank's culture by collaborating with bank partners and
developing positive relationships across the organization. The Relationship
Associate II explores efficiencies with existing technology to improve bank
processes and embraces advancements in banking technology and internal
applications.

Essential Functions:

  • Opens depository accounts for high-net-worth clients, commercial clients, and related entities, ensuring all documents are accurate and ready for client acceptance.
  • Conducts effective Know Your Customer (KYC) screening of prospective and existing clients, reviewing due diligence documentation and adhering to risk guidelines for client onboarding.
  • Resolves risk exceptions, including red flags, outstanding documentation, and missing signatures, in a timely manner.
  • Coordinates and expedites the delivery of new account documentation using the bank's electronic signature and secure portal systems as needed.
  • Provides
    fraud assistance to clients by closing/reopening accounts identified with
    fraud/suspicious activity, monitoring transactional activity, processing
    paperwork for disputes, and redirecting credits/debits for funding.
  • Assists
    with client account-related requests such as wire transfers, funds
    transfer, stop payments, inquiries about bank deposit and loan products,
    ATM and debit card usage, inquiries on account transactions, and questions
    on funds availability.
  • Collaborates
    with bank partners and departments on service issues affecting the client
    experience, providing a timely and professional approach to client
    support.
  • Coordinates
    with Private Bankers to monitor and manage overdrafts.
  • Ensures
    depository compliance with regulations, bank policies, and procedures,
    being accountable for errors leading to compliance, regulatory, and audit
    concerns.
  • Coordinates
    the origination, modification, and renewal of consumer and commercial
    loans and lines of credit, including preparing loan worksheets and
    presentations, managing the collection of confidential client financial
    information, and ordering necessary documents.
  • Enters
    consumer and business loan application information into the lending
    software, ensuring loan documentation is accurate and ready for client
    acceptance.
  • Conducts
    loan closings and expedites loan documentation using the bank's electronic
    signature and secure portal systems as needed.
  • Scans
    supporting and financial documentation into the imaging system.
  • Monitors
    and clears upcoming loan maturities, delinquent accounts, and exceptions
    (collateral and financial).
  • Ensures
    lending compliance with regulations, bank policies, and procedures.
  • Handles
    a high volume of phone calls and interacts with high-net-worth clientele
    professionally and effectively.
  • Processes
    client deposits, loan payments/payoffs, loan advances, and check orders.
  • Performs
    general office functions such as greeting clients for scheduled meetings,
    filing, making copies, and sorting mail.
  • Assists
    Private Bankers with maintaining and updating information in Enact (CRM),
    including creating profiles, updating client information, creating and
    tracking appointments, and sending referrals to other business partners.
  • Schedules
    appointments for Private Bankers as needed and may serve as a Notary.
  • Prepares
    monthly expense reports for Private Bankers as needed.
  • Contributes
    to the overall delivery of quality client experience and participates in
    the ongoing development and improvement of the bank's processes.
  • Offers
    support to the Relationship Associate Officer as needed, including
    providing executive administrative support to the Private Banking and
    Business Banking Line of Business Managers.
  • Collects,
    assembles, and distributes various monthly reports, ensuring reports are
    available for specific meetings as required by utilizing appropriate
    systems.
  • Assists
    with bankers' scorecards and division reports by generating sales reports,
    pipeline reports, production reports, etc., for review by Line of Business
    management.
  • Participates
    in continuous process improvement initiatives, representing Private and
    Business Banking as a process improvement champion by consistently
    monitoring processes and identifying gaps.
  • Updates
    the Enhanced Due Diligence files under Private Banking's Customer
    Identification Program (CIP).
  • Tests
    system upgrades affecting Private and Business Banking (e.g.,
    Aperio/CRM/CRIF, etc.) and reports issues to the task force.
  • This position may require travel within the Bank's geographic area.


Experience & Education:

  • 5+ years of administrative experience in a financial institution covering a variety of duties, including contact with high net-worth clients.
  • High
    School diploma or equivalent.

Skills & Qualifications:

  • Ability to maintain high service standards, prioritize, and multi-task despite pressing deadlines.
  • Ability to maintain client satisfaction and generate positive client relationships.
  • Demonstrated dependability and comfort with working in a high-paced environment.
  • Strong communication and collaboration skills.
  • Excellent judgment skills and resourcefulness.
  • Strong proficiency using Microsoft Office products.
  • Experience with bank core systems, and imaging systems for research.

Other Requirements:

  • Register and maintain registry as a Mortgage Loan Officer (MLO) with the Nationwide Mortgage Licensing System (NMLS) and Registry in accordance with the Secure and Fair Enforcement for Mortgage Licensing Act (the S.A.F.E. Act).
  • Meet and maintain financial responsibility, character and general fitness standards along with all other established requirements for an individual Loan Originator (LO) in accordance with Regulation Z.
  • Requires the ability to lift, carry, push, pull weights or otherwise move objects weighing as much as 10 lbs. on a regular basis and/or for extended periods of time during the workday.
  • Occasional overtime or extended hours may be required.
