Summary of Position: Provide excellent customer service and maintain good customer relationships while receiving payments from students and third-party payers. Providing in-depth analysis of student and third-party accounts to resolve issues related to customer accounts. Coordinate billing of tuition and fees to third party payers including creating external organization accounts and set up of third-party contracts, generating and distributing third party invoices. Work in conjunction with the Financial Aid Office to post and distribute financial aid refunds to students. Must have the ability to maintain a realistic balance among multiple priorities, complete projects timely and accurately, and work under pressure at times to handle a wide variety of tasks. Perform other duties of the office as assigned. Evening hours if applicable.


Essential Functions

1. Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect. Regular attendance is required.

2. Perform office function's which may include, but are not limited to: respond to internal/external customers and staff; create and modify documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.

3. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.

4. Student Success is the cornerstone of Western's culture and the college may assign employees as needed to other areas or additional duties to foster this success.

5. Billing/Invoicing/Cashiering/Daily Reconciliation - Supporting Action/Task May Include:
*Coordinate third party invoicing process including creating external organization accounts and setting up third party contracts, generating and distributing third party invoices for degree and non-degree.
*Maintain master files for third party students and agencies
*Work in conjunction with Veterans Services Manager to ensure accuracy of Post 911, WI GI Remission and WI GI Supplements payments and refunds.
*Authorize charging for 3rd party funded students
*Perform daily reconciliation of cash/credit transactions may include bank deposits
*Reconcile daily cash receipts and e-campus reports for student charges
*Enter appropriate coding on third party funded students for accurate client reporting data.

6. Process Refunds - Supporting Action/Task May Include:
*Review student account and post refund entry to student account to ensure accuracy of student refund amounts including compliance with U.S. Department of Education regulations regarding payment of current academic year and prior academic year charges.
*Work in conjunction with the Financial Aid Office staff to ensure accuracy of financial aid disbursements and refunds and compliance with Federal financial aid regulations.
*Post and distribute financial aid funds to student accounts and any adjustment of financial aid funds to student accounts for Return of Tile IV funds to appropriate federal program to comply with Federal financial aid regulations.
*Generate and distribute refund payments to students

7. Customer Service - Supporting Action/Task May Include:
*Providing in-depth analysis of student and third-party accounts to resolve issues related to customer accounts. Enforce federal and state regulations as well as College policies and procedures in accordance with Family Education Rights and Privacy Act (FERPA).


Qualifications

Minimum Qualifications:

  • Associate Degree in related field OR
  • Education combined with appropriate occupational experience in related field totaling 2 yrs. OR
  • Occupational experience in related field totaling 2 yrs.

Preferred Qualifications:

  • 2 years preferred in related field

This position reports to: Bursar

Starting hourly salary range based on education and experience: $21.95 - $28.12
