Soft Services Specialist - JLL

What this job involves:

Reporting to the JLL Facility Manager, the Soft Services Specialist (SSS) will provide soft services planning and operations support to our client in Princeton/Ewing/Rocky Hill and Lakewood, NJ. This role enables operational efficiency by providing support for meetings, facilities, and business operations, focusing on prime customer experience and supporting vendor services. The SSS will support and help maintain overall site service, performance, processes, and quality standards for soft services while striving towards innovation of services offered, assisting with lowering cost of delivery, and working with suppliers to integrate services into operations while dramatically enhancing the customer experience. You will support effective participation in quality assurance programs, drive towards a higher level of service, meet or exceed scoring metrics as stipulated in both Client and Vendor contracts, and support/track customer relationships.

What your day-to-day will look like:

  • Support all on-site Soft Services by working with contractors and suppliers per scope of work including but not limited to cleaning/custodial, security, food service, and shipping & receiving

  • Provide direct supervision of Quality Assurance including training, assigning tasks, performance appraisals, and monitoring procedures to ensure processes are completed in an efficient and safe manner

  • Participate in daily/monthly soft service inspections to ensure contracted scope is met and hold vendors accountable for delivering high quality service per contract expectations

  • Assist with receiving and dispatching work requests to soft service staff and service providers through the site CMMS and support varying site functions, activities, and programs as requested

  • Ensure third party supplier orders are created and issued in a timely manner, interact with the Facility Manager and Finance for month and year end closes, and assist with researching, analyzing, and reporting budget variances

  • Manage a team of 3 staff members and travel between sites including Lakewood, NJ, with primary location in Ewing

  • Act collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation while ensuring areas and processes are in optimum conditions for audit readiness and compliance

Required Qualifications:

  • High School Diploma or GED required

  • At least 5 years of experience in soft service and vendor compliance and/or 5 years financial experience, such as experience with purchase order requests, receiving invoices, working with vendors, and dealing with proposals/Maintenance Management

  • Valid driver's license

  • Excellent written and oral communication skills

  • Proficient with Microsoft Office programs such as Excel, Outlook, Word, etc.

Preferred Qualifications:

  • Advanced degree

  • Advanced computer and office software skills

  • Client service-oriented attitude

  • Strong team player willing to work in an environment where individual initiative and accountability to the team are required

  • Experience reading and understanding Service Level Agreements and achieving Key Performance Indicators

  • Knowledge of federal and state regulations/codes and compliance standards

Location: Primary location: Ewing, NJ; Travel to Princeton/Rocky Hill/Lakewood, NJ required)

Work Shift: 8am to 4:30pm or 7 30pm to 4pm

Estimated compensation for this position:

66,100.00 - 66,100.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
