Job Description

Pay Range: $21.30 to $25.10 per hour

(Additional $1.00 per hour for hours worked between 7:00pm and 11:59pm. Additional $2.00 per hour worked between 12:00am-4:59am)



  • Provide administrative and clerical support for the Maintenance and Engineering Department to ensure project costs are captured and reported.
  • Primary point of contact for internal and external requests for services relating to the Maintenance and Engineering Department.
  • Independently review and answer correspondence and inquiries of a non-routine nature. Handle complaints and follow up with necessary adjustments as required.
  • Carry out special projects as directed by managers. Responsible for follow-up on assignments or projects to ensure that decisions are implemented and appropriate parties are notified.
  • Aid management in reviewing and recommending changes in workflow and simplify reporting procedures.
  • Track and capture costs and generate reports as directed by management that will be viewed by the board of directors.
  • Coordinate collection and preparation of operating reports pertaining to department projects and assist in projected quarterly anticipated spend.
  • Initiate, develop and issue purchase request for proposals/quotes for all purchases and services against various projects. Work closely with vendors/suppliers to ensure quotes/proposals are itemized and purchase requisition is created as per accounting requirements. Including Amazon and Staples orders.
  • Work closely with corporate accounting to capture and track project costs, generate reports as requested by management on a weekly basis. Generate period end reporting and distribute as needed.
  • Verify invoices, down payments, progress payments against the purchase orders for accuracy and payment. Assist Accounting Department with any discrepancies regarding invoices and contract amounts.
  • Invoice resolution support and maintaining documents against purchase orders and budgeted projects. Resolve discrepancies both internally and externally.
  • Provide assistance to Safety Department with Safety Shoe Program - update Lehigh team member list on website by adding and removing team members. Create blanket po for Engineering and Construction Maintenance Department. Distribute invoices to corresponding departments.
  • Assist with vendor setup for Engineering and Construction Maintenance department. Provide vendors with setup packet and provide constant communication with vendor until setup is complete.
  • Create chemical/mro material numbers when needed.


Qualifications



  • Must have at least two years of general office clerical or accounting experience.
  • High School graduate, AA/BS Degree preferred.
  • Computer literate in Windows environment and proficient in Microsoft Word & Excel. Ability to learn other computer programs.
  • Must have good interpersonal and communication skills (both verbal and written). Be able to work both individually and in a group environment.
  • Must have good organizational skills and ability to prioritize on a regular basis.
  • Must be able to work with minimum supervision.
  • Must be punctual and maintain an acceptable attendance record.
