Responsibilities:

*Maintains record keeping and filing system in accordance with departmental system, classifies, sorts and files correspondence, records and other documents accordingly. Purges files in accordance with policy.
*Answer telephones, takes and relays information and messages. May answer routine questions regarding hospital and departmental operations, policies and procedures.
*Retrieves information from files as requested and assembles data. Responsible for following confidentiality guidelines while duplicating material using photocopy machine. Responsible for mailing or faxing requested material to other PHS facilities and other appropriate facilities.
*Maintains and fosters effective public relations with patients, providers and the public by listening, responding, and documenting customer phone and walk-in inquiries and issues.
*Ensures the accurate and timely compilation and maintenance of medical record documentation.
*Pulls charts for next day and same day appointments, inserting out-guides in place of medical record. Prepares charts for visits.
*May perform chart analysis, obtains appropriate signatures.
*Assists in gathering information and statistics together for the preparation of reports/audits.
*Listen, analyze, answer and resolve customer phone, walk in and appointment care inquires or complaints.
*Research loose papers to ensure proper patient identification is available to file paper in the proper medical record.
*Track disclosures for HIPAA
*Track records sent to storage.
*Ensure all Urgent Care notes are sent to patient s PCP
*Maintaining all logs associated with medical records.
*Coordinate and Place reminder calls for provider schedules when necessary
*Schedule Appointments when necessary
*Responsible for accurate and timely collection of insurance information on patient at time of arrival
*Accurately posts receipts to customer accounts
*Is able to enter HIPAA disclosures online

Qualifications:

Education: HS Diploma/GED is required
