Salary: $33.02-64.08 Hourly 2-3 days/week on-site

In this role, you will be instrumental in driving efficiency, coordinating critical initiatives, and providing essential support across various functions, directly contributing to the smooth functioning and overall achievements of the department. **The Impact You'll Make:**
This role is at the heart of our operations, offering a unique opportunity to lead and coordinate projects, manage vital administrative processes, and serve as a central liaison for both internal teams and external partners. You will be the go-to person for ensuring resources are optimized, projects stay on track, and administrative functions run seamlessly, directly influencing our ability to meet strategic goals and support our mission. **Key Responsibilities:**
* **Project Management & Coordination:** Oversee project reporting, optimize resource utilization, manage project schedules, and ensure all project phases are meticulously documented. Lead individual projects, providing direction and facilitating workshops and committee meetings.
* **Operational Process Ownership:** Serve as the owner for internal position control systems and processes. Manage intake forms and databases, compile comprehensive reports for leadership review and approval, and track approval decisions based on specific operational rules. Reconcile internal position approvals against system-generated positions and track approval statuses.
* **Administrative & HR Support:** Provide leadership and expertise in administrative processes, ensuring smooth workflow and accurate record-keeping. Offer policy and procedure guidance, guarantee timely submission of personnel-related documentation, coordinate new employee onboarding, and monitor compliance with internal training requirements.
* **Resource & Inventory Management:** Oversee the allocation of equipment and supplies, conduct periodic inventory reviews, prepare facility reports, and present cost management efforts to the team.
* **Stakeholder Liaison & Support:** Act as a primary point of contact for internal leaders, troubleshooting issues and providing status updates. Coordinate support requests from various departments, ensuring quality work is completed efficiently. Coordinate the installation and maintenance of data and phone communication systems. Ensure new hires have all necessary resources in place upon arrival.
* **Event Coordination:** Plan and manage various departmental events, ensuring successful execution. **Qualifications:** **Must-Have Qualifications:**
* High school diploma or equivalent.
* Demonstrated expertise in organization and communication.
* Excellent organizational and problem-solving skills with the ability to prioritize multiple and diverse tasks.
* Proven ability to manage multiple changing priorities effectively.
* Strong written and verbal communication skills, with the ability to communicate clearly and maintain professionalism with all levels of staff.
* Intermediate proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
* Experience with Smartsheet.
* Ability to take direction and work effectively both independently and collaboratively.
* Demonstrated ability to independently seek out and obtain information.
* Proficiency in utilizing critical thinking skills and time management principles to develop effective work plans.
* Experience preparing and managing accurate file systems consistent with standard office practices.
* Demonstrated ability and interest in learning new software programs.
* Follows safety policies and procedures and incorporates ergonomic principles in work habits. **Nice-to-Have Qualifications:**
* Bachelor's Degree.
* Extensive knowledge and understanding of complex organizational structures. The target hiring compensation range for this role is $33.02 to $64.08 an hour.
