Job Duties
-
- Prepares a variety of court forms, notices, and letters; processes returned mail and researches updated addresses for defendants.
- Obtains citations from the police department, verifies accuracy, and schedules the court calendar. Ensures appropriate processing of all citations, documents and court cases, including appeals to the Circuit Court.
- Maintains Court docket, correspondences, legal documents, reports, forms and other Court Documents. Prepares court dockets; records pleas; obtains defendant signatures on required forms.
- Establishes appropriate case files, maintains current case status, and closes out completed cases.
- Processes all not guilty pleas by mail.
- Schedules pretrial hearings for not guilty pleas; issues pretrial notices; provides the municipal prosecutor with necessary case information for pretrials.
- Schedules trials and motion hearings; notifies appropriate parties; records (tape/video) and transcribes proceedings when required.
- Coordinates overall court matters with all involved parties, including the municipal judge, defendants, defense counsel, municipal prosecutor, police department, and other justice agencies.
- Collects and records payments; prepares deposits; balances cash receipts; sets up and monitors payment schedules; compiles and submits financial reports to appropriate agencies.
- Coordinates and manages open court sessions including supervising and distributing court handouts, records all pleas made by the defendants and/or their legal counsels.
- Oversees that trial proceedings are recorded and preserved.
- Issues and processes forfeiture of bonds, summons, subpoenas, citations and other court documents as directed by the Municipal Judge.
- Receives and responds to diverse inquiries from the public, state agencies and other Village departments and enforcement agencies regarding court activities.
- Sends required notices to the Wisconsin Department of Transportation, including suspension/revocation orders, reinstatements, and conviction status reports Review files, documents and other printed material for completeness and accuracy, and facilitate the correction of errors.
- Processes incoming mail, faxes and distribute to defendants, attorneys, judge, etc.
- Processes demands for certified court records.
- Orders and maintains supplies needed for operations of the Court.
- Processes and maintains confidential or sensitive information or documents.
- Establishes and maintains effective working relations with departmental staff, elected officials, County employees, and the general public.
- Completes tasks as assigned by Municipal Judge.
Essential Knowledge and Abilities
- Considerable knowledge of standard office practices, procedures, and techniques.
- Considerable knowledge of business English, spelling, grammar, and punctuation.
- Considerable knowledge of and proficiency in MS Office products or comparable office programs, word processing, spreadsheet, and some database knowledge.
- Considerable knowledge of standard office equipment, including telephones, fax machines, keyboards, copiers, printers, scanners, shredders, and department/division specific equipment.
- Considerable knowledge of department requirements, policies, procedures, rules, laws, etc.
- Considerable knowledge of State and Federal laws regulating the operation of the Municipal Court as well as Village policies and procedures.
- Working knowledge of basic math.
- Working knowledge of department specific programs for cash receipting, deposit balancing, and state reporting, including interfaces with TiPPs, WI DOT, and WI DOR.
- Working knowledge of unique or specialized terminology specific to Municipal Court operations
- Some knowledge of basic bookkeeping or accounting.
- Ability to take the oath provided by s. 19.01 prior to entering duties of position.
- Ability to analyze, research and interpret complex documents, information, policies and procedures.
- Ability to prepare and comprehend complex documents, correspondence, information, and reports.
- Ability to analyze and resolve problems.
- Ability to access and navigate the Internet, Municipal or department-specific applications or programs.
- Ability to follow and understand advanced oral and written instructions.
- Ability to work independently and as a member of a team and deal with people in an effective and timely manner.
- Ability to establish and maintain effective, professional, positive, and respectful working relationships, and communicates internally, with other Municipal Departments/Divisions, clients/customers, outside agencies, and the general public.

Minimum Qualifications
-
1. High School Diploma or GED.
2. Three (3) years post high school work experience providing administrative or court support.
3. One (1) year of recognized post high school training in business, administrative professional, legal or closely related field may substitute for one (1) year of the work experience requirement.

Supplemental Information
-
This is a full-time, non-exempt position. The hours of this position are Monday, Tuesday, Thursday and Friday from 8:00am - 4:30pm and Wednesday from 11:30am to 8:00pm. Municipal Court is held on Wednesday evenings and candidates much be available during this time. This position is not eligible for the Telework or Work-From-Home.
