| Job Duties |
The Assistant Director for Conference and Event Planning will be one of the front-line customer service positions for all reservations in Main Campus Student Center, Wright Auditorium, and other University facilities where conferences and events are scheduled through the Central Reservations Office. This position will work with different constituents on campus to secure and locate meeting facilities for users, including students. This professional will be many peoples first impression of the University and the services that we provide here on campus. This person may also work with the local community on events that may occur on campus.
This position is a key component of providing revenue for the department as well as finding appropriate meeting space for groups. The Assistant Director position will assist in bringing conferences and events to the region. This position will provide a point of contact for individuals/groups wishing to secure space which will increase the different events that are held in the region, aid in the economic growth to local business, and increase the visibility of East Carolina University. This position will also work with other professionals on campus to help maintain a consistent Standard Operating Procedures for facilities usage and rentals. This would also apply to student, faculty, staff, and the outside community. This position will develop a strong tie-in with academic degree programs on campus such as Hospitality Management, where internships and practicums would be established for the students in these majors.
- Provide campus-wide reservations for campus departments, faculty, and staff. This includes initial consultation meetings, scheduling in reservation system, coordinate all additional services (i.e. security, catering, permits, etc...), create diagram with event planning software, attendance at scheduled event, and follow up with clients and providers for assessment purposes after event. Provide backup support for student organization events as needed.
- Schedules meetings with various event organizers at least two weeks prior to event dates to address event agendas and resource coverage.
- Provide end to end reservation support, adherence to policy, procedures, and standards of operation as outlined by the university.
- Communicate effectively and efficiently with CRO professional staff and students to ensure quality customer service for all events, not just the events the Assistant Director works on specifically.
- Create positive relationships with campus resource partners (Police, Parking, Grounds, EH&S, etc.) to ensure appropriate resources are available and sufficient for events.
- Resolve any problems that may arise so that all groups can have a successful event.
- Support the Director in the execution of the department's goals and objectives as planned and presented by the Director.
- Design and instruct event planning seminars for students, faculty, and staff on ECU's campus.
- Represent the Central Reservations Office on planning teams for campus events such as: Family Weekend, Orientation, and ad hoc committees as assigned.
- Manage the daily operations of the Central Reservations Office at the discretion of leadership.
- Other duties as assigned including, but not limited to, representing the department and/or university at professional conferences and workshops, serving on division or campus committees.
