About the College/Unit/Department
The University of Georgia School of Medicine was founded in 2024 and received preliminary accreditation in 2026.
The establishment of a new public medical school at UGA comes as the state faces a significant shortage of medical professionals. The population of Georgia, the nation's eighth-largest state, has surged to approximately 11 million residents, straining existing medical infrastructure and resulting in longer wait times for appointments and reduced access to care. Georgia currently ranks 39th in the nation for the number of active patient care physicians per capita and 41st for the number of public medical students per capita.
As a top-20 public university with a thriving research enterprise and vast public service network, the University of Georgia is well-positioned to produce more highly trained physicians, alleviate physician shortages, and improve the state's ability to provide quality health care for its citizens.
The School of Medicine is located on UGA's Health Sciences Campus in Athens. In its inaugural year, the UGA School of Medicine will enroll 60 students per class, but a new $100 million medical school building will enable the UGA School of Medicine to grow to 120 students per class in the future.

Bachelor's degree in a related field or equivalent and 2 years of professional experience

Preferred Qualifications

  • Three or more years of experience in facilities operations, building maintenance coordination, and/or asset/inventory management.
  • Experience coordinating with Facilities Management divisions, service vendors, and/or campus operations units.

Position Summary
The Facilities Manager for The UGA School of Medicine is responsible for managing, coordinating, and executing facilities operations, inventory control, building access, safety compliance, and logistical support for the AU/ UGA Medical Partnership (MP) and School of Medicine ( SOM). This position ensures that facilities, equipment, resources, and related spaces operate safely, efficiently, and in alignment with UGA policies and procedures.

The Facilities Manager also serves as the primary point of contact for building access, keys, fleet management, special projects, and facilitiesrelated services, and works closely with faculty, staff, students, vendors, and the Facilities Management Division ( FMD). This position will serve as the primary Building Safety and Security Representative ( BSSR) with 24/7 emergency response responsibility.

The employee in this position is considered "Essential Personnel".

Essential Personnel: Employee whose job responsibilities require that they work during hazardous or emergency conditions in order to maintain critical institutional functions, e.g., public safety, facility, or information technology employees, or employees with critical health and safety responsibilities, may be designated as 'essential personnel' by their institution. Essential personnel will be expected to maintain a normal work schedule during inclement weather or other emergencies unless specifically excused.

Facilities Operations, Inspection & Maintenance Assessment and Coordination

  • Inspect, assess, and report on building conditions, furnishings, appliances, classrooms, offices, storage areas, and restrooms.
  • Receive reports of issues from building occupants; evaluate severity and assign minor tasks to staff or student workers as appropriate.
  • Escalate and coordinate major repairs or maintenance needs with FMD and building service workers.


Maintenance Management & Work Orders

  • Serve as the primary point of contact for all faculty and staff regarding Work Requests across all SOM and MP units and buildings.
  • Maintain logs of all submitted work orders and communicate status updates to stakeholders.
  • Coordinate carpentry, fixture mounting, plumbing, HVAC, pest control, custodial work, and groundskeeping requests.
  • Oversee cleaning and repair work orders as needed and coordinate all building maintenance with FMD, ensuring buildings remain clean, safe, and in good repair.
  • Serve as the FMD contact for all SOM Work Order requests and afterhours building openings.
  • Maintain and modify building lock and alarm schedules based on special events, holidays, open houses, construction, or contractor access.

Key and Access Management

  • Oversee distribution, storage, inventory, and collection of all hard keys for AU/UGA Medical Partnership and SOM buildings.
  • Ensure Key Agreements are signed and filed.
  • Administer building access for faculty, staff, and students, including granting and removing access to SOM and MP buildings (where applicable).
  • Serve as the primary contact for the Genetec access system and manage video camera access.

Communication, Deliveries & Telecom Support

  • Serve as the telephone representative, including phone line requests, jack activation, line changes, voicemail updates, and repair submissions.
  • Deliver packages and distribute mail or items within MP and SOM buildings.
  • Support document destruction procedures, including: box collection, records retention evaluation, form submission, delivery to UGA destruction facility.



Inventory Management and Asset Control

  • Conduct the annual physical inventory of all AU/UGA Medical Partnership/SOM assets (approx. 1,000+ devices), scanning all items between November-January and submitting the final report to UGA Asset Management by the required deadline.
  • Track all inventory assets assigned to MP students, faculty, staff, and departmental units.
  • Collect Year 4 student iPads and hospital badges prior to each graduation cycle.
  • Update all University assets, including iPads, laptops, ultrasound probes, lab equipment, computer items, and equipment in PeopleSoft/Asset Management.

Space Scheduling & Office Relocation Support

  • Submit classroom and event reservations in 25Live or EMS.
  • Support office moves, manage vacant spaces, and assist with construction and renovation projects.


Fleet, Equipment & Golf Cart Management

  • Oversee SOM fleet vehicles, including routine maintenance, repairs, cleaning, and refueling.
  • Update insurance cards annually and maintain accurate vehicle reservation processes.
  • Track annual driver training compliance and WEX fuel card management.
  • Conduct routine golf cart cleaning, battery checks, and water refills.

  • Coordinate biomedical waste pickup with approved vendors and submit related invoices.


Parking & Locker Management
  • Order Temporary Parking Passes, DP passes, and Visitor Lot coupon codes; maintain detailed logs. Clean out graduating class lockers each May.
Safety & Emergency Preparedness (BSSR Role)

  • Serve as the Primary Building Safety and Security Representative (BSSR) for AU/UGA Medical Partnership and SOM buildings.
  • Maintain current CPR certification.
  • Conduct monthly AED and naloxone (Narcan) cabinet checks.
  • Serve as primary contact for Cintas First Aid Cabinets and process related invoices.
  • Provide 24/7 emergency response support in coordination with OSEP.
