About the College/Unit/Department
The University of Georgia School of Medicine was founded in 2024 and received preliminary accreditation in 2026.
The establishment of a new public medical school at UGA comes as the state faces a significant shortage of medical professionals. The population of Georgia, the nation's eighth-largest state, has surged to approximately 11 million residents, straining existing medical infrastructure and resulting in longer wait times for appointments and reduced access to care. Georgia currently ranks 39th in the nation for the number of active patient care physicians per capita and 41st for the number of public medical students per capita.
As a top-20 public university with a thriving research enterprise and vast public service network, the University of Georgia is well-positioned to produce more highly trained physicians, alleviate physician shortages, and improve the state's ability to provide quality health care for its citizens.
The School of Medicine is located on UGA's Health Sciences Campus in Athens. In its inaugural year, the UGA School of Medicine will enroll 60 students per class, but a new $100 million medical school building will enable the UGA School of Medicine to grow to 120 students per class in the future.

Position Summary
The Events Manager at the UGA School of Medicine ( SOM) directly reports to the Chief of Staff to the Dean and serves an integral role at the school in leading the planning, coordination, and execution of special and signature events hosted throughout the year. This position will partner across the SOM with various colleagues on specific events, as well as potential cross-campus collaborative events. Additionally, this position will interface with a variety of external vendors and work extensively with SOM financial personnel on managing budgeting responsibilities for each event.

  • Demonstrated ability to manage multiple competing projects in an organized, efficient manner by prioritizing tasks to meet deadlines.

  • Strong organizational and project management skills with the ability to manage multiple events simultaneously.
  • Excellent verbal and written communication skills to coordinate with faculty, staff, students, vendors, and campus partners.
  • Knowledge of event planning principles, logistics coordination, and onsite event management.
  • Skill in managing event logistics, including scheduling, equipment/furniture setup, registration systems, and guest management.
  • Proficiency with productivity tools and communication platforms (e.g., email, spreadsheets, registration systems).
  • Ability to coordinate and lead event operations from planning through execution and postevent wrapup.
  • Ability to independently evaluate event needs and ensure compliance with safety, ADA, and institutional policies.
  • Ability to maintain financial accuracy, ensure timely submission of purchases, and follow UGA/USG policies.

Event Coordination

  • Work collaboratively with administrators, faculty, and staff to coordinate event logistics.
  • Reserve spaces for events to include furniture selection, set-up, decor, and ADA compliance.
  • Contract, coordinate, and serve as point of contact for vendors, including negotiation of contracts and submission of appropriate paperwork.
  • Effectively coordinate with various SOM employees regarding event logistics, including, but not limited to, marketing and communications; admissions; development; student affairs; IT; business office; facilities; etc.
  • Organize set-up and breakdown of each event.
  • Serve as day-of, onsite coordinator of each event.
  • Create and maintain emergency plans for events and venues.
  • Recruit, organize, and direct volunteers for hosted events.
  • Manage event registration, invitations, guest lists, name tags, and RSVPs.

Finance and Policy Compliance

  • Create and maintain budgets for each event, including working alongside SOM financial and procurement professionals regarding the acquisition and payment for goods and services.
  • Track expenditures per event via budgeting spreadsheets.
  • Review quotes, invoices, and contracts for accuracy and policy compliance.
  • Submit purchases in a timely manner per UGA policies and guidelines to the appropriate business office personnel to ensure on-time payments.
  • Ensure compliance with USG and UGA policies and regulations and maintain proper documentation, as needed.

Consultation

  • For events outside the purview of this role, yet still hosted by other entities at the SOM (e.g., faculty, research, admissions, student affairs, student organizations, etc.), provide consultation and guidance regarding event planning and management.
  • Create and maintain event planning guides, vendor lists, safety protocols, and other documents for others' use in their own planning efforts.
