JACKSON ELECTRIC MEMBERSHIP CORPORATION POSITION DESCRIPTION HUMAN RESOURCES ASSISTANT, PART-TIME POSITION OBJECTIVES: To ensure accurate, reliable, and efficient administrative, clerical and personnel related support to help meet the objectives of the Department of Human Resources and the Cooperative; To provide the communication and collaboration consistent with the Vision, Mission, and Values of the Cooperative. EDUCATION: Require Associate's Degree in Business Administration, Business Management or related area. EXPERIENCE: Require a minimum of the most recent two years of experience in secretarial, administrative, or related work. Prefer experience in general human resources functions related to recruiting, compliance, and/or benefits. KNOWLEDGE: Require a working knowledge of the duties of the position, including personnel related functions such as record keeping, maintaining confidential information, , report generation, word processing, filing, office principles, and methods, practices, and procedures for general office functions. SKILLS: Require, excellent communication skills, both written and oral, and the ability to work in a team environment. Require effective administrative skills, excellent professional communication skills, both written and oral and the ability to work in a team environment. Require excellent computer and data entry skills. Require the ability to understand all office procedures, compose business correspondence, formulate reports, perform neat and accurate work, determine priorities of work assignments and develop schedules for accomplishment; determine when improvements are needed and make recommendations, and safeguard confidential information. Require ability to receive, understand, and carry out verbal and written instructions. Require a general knowledge of and be skilled in, or have aptitude for becoming skilled in, the function and use of Human Resource Management Systems including a working knowledge of Microsoft Word, Excel, and PowerPoint. Require the ability to meet and deal with people in a number of internal and external contacts to maintain effective work relationships and obtain desired results. WORKING RELATIONSHIPS AND CONDITIONS: Reports to Manager, Talent Acquisition and Onboarding Directs: None Internal: Actively participates within the Cooperative team environment to develop supportive relationships essential to the success of the functions of this position, achieving the results expected and encouraging throughout the organization the concepts of teamwork and cooperative spirit. External: Develops and maintains supportive relationships with member/consumers, the general public, and other external contacts to assure positive results. This position is primarily sedentary work; requires visual acuity in machine operation with inspection; requires ability to hear, talk, and perform repetitive motions; and is not substantially exposed to adverse environmental conditions. This document does not create an employment contract, implied or otherwise, other than an "at will" employment document. ESSENTIAL FUNCTIONS: 1. Provide HR support and respond to the following: written and verbal inquiries regarding job postings, application process, job fairs, verifications of employment, new hire process, and general HR questions. 2. Provide administrative services including filing, typing, scanning, word processing, composing, and answering routine correspondence as required or directed. 3. Assist with the recruiting process including but not limited to the following: coordinating, scheduling, and confirming job interviews, travel arrangements and reimbursements, preparing and filing interview guides, submitting and reviewing background checks, mailing new hire paperwork, and coordinating new hire physicals and drug screenings. 4. Assist with the administration and tracking of new hire, transfer, and new supervisor onboarding checklists and survey. 5. Assist with inputting contact data from career fairs into Microsoft Excel. 6. Assist with organizing and filing employee personnel files. 7. Participate in career and job fairs for the purpose of recruiting quality applicants 8. Assist with preparation and tasks for New Employee Orientation, DDI and AAP Training sessions. 9. Assist with processing and submitting invoices to Accounts Payable. 10. Assist with collecting data necessary to the company's Affirmative Action Plan (AAP). Assist with internal I-9 audits. 11. Assist HR in all other duties and functions of the department as needed in the areas of Recruiting, Compliance, Employee Development, Training, Benefits, and all other general HR duties. 12. Work cooperatively in supporting the HR Team and HR Leadership in preparing the department for the future and to achieve the goals of the Cooperative. 13. Be familiar with and follow the best safety practices set forth in the Cooperative's Safety Manual. 14. Attend and participate in annual meeting as required or directed. 15. Perform such other duties as may be required or directed. GRADE: CTC-7
