JOB SUMMARY

The Field Office Manager position performs and supervises the administrative functions of our remote site field office. The successful candidate must be able to work independently with minimal direction while providing document control/administrative support to the Operations Manager and Project Management team. This position is responsible for maintaining incoming, outgoing documentation, and updating databases. This position will have oversight of travel and billeting of the field workforce. This position will provide weekly manpower and statistical reports and maintain work schedules for the Operation Manager and Project Management Team. The ideal candidate will be able to adjust to the changing requirements of the client and our company processes and procedures, deal with the daily challenges of this fast-paced office while working with our Operations Manager and Project Management team to keep in step with the changing environment faced on a daily basis.

This is a seasonal position eligible to enroll in Company benefits. This position is expected to start on or around January 2026, and to be complete on or around May 2026. Actual duration may depend on project operational needs and client schedule.

ESSENTIAL DUTIES

  • Contractor Report - Send out on site personnel weekly report to Client.

  • Employee Expense report - Facilitate for the employees.

  • FRC'S - Issue, order, track, receive and inventory.

  • HR - Assist in onboarding employees. File and facilitate onboarding and other personnel paperwork between town and the onsite personnel.

  • HSE Committees - Participate, facilitate as needed, and support.

  • IFC / MOC - Documentation support and distribution.

  • Crew Schedule - Update changes and post in all locations.

  • Payroll - Serve as liaison with Anchorage department. Coordinate distribution of checks.

  • Timesheets - Intake and review for accuracy, Trouble shoot Work Order problems, coordinate timely submittal to town.

  • Toolbox Meetings - Attend and Document meeting minutes.

  • Travel Authorizations -Submit and coordinate with town and client billeting teams.

  • VTA - Assist Safety Department with computer training access for new hires.

  • Work Order List - Maintain and update as needed to support the field crews.

  • Must be able to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals, and be able to write routine reports and correspondence.

  • Must be able to deal with problems involving several concrete variables in standardized situations.

  • Must be able to follow instructions, work independently and as a team member when necessary.

  • Must be able to operate computers, phones, copiers, and fax.

  • Must be able to learn and efficiently utilize new software programs.

  • Must possess good communication skills, written and verbal, and be able to speak effectively before groups of employees or customers.

  • Must be detail oriented and have excellent organizational skills.

  • Must be flexible and maintain a professional attitude at all times.

  • Must be prepared to handle highly sensitive and confidential information with professionalism and discretion.

  • Must be able to proficient with basic business math.

  • Must be reliable and punctual in work attendance.

  • Comply with Company and customer policies and procedures.

  • Support AES zero-incident safety culture and assume personal accountability and responsibility for safe work practices in all projects, activities, and operations.

  • Other duties will be assigned to this position as needed.

REQUIRED EXPERIENCE

  • Must be authorized to work in the U.S.

  • A High School Diploma or equivalent is required.

  • A valid (U.S issued) Driver's License is required.

  • The ability to work 84 hours a week on a 6x1 rotation is required.

  • At least five (5) years of experience as an Office Manager is required.

  • Proficiency with the Microsoft Office Suite is required.

  • Prior travel and billeting experience are required.

PREFERRED EXPERIENCE

  • Five (5) or more years of experience working as an Office Manager specifically in Construction, the Petrochemical or Oil and Gas industry, on the North Slope, and/or in other Arctic environment is preferred.

  • Knowledge of PSTS (Personnel Tracking & Scheduling System) programs is preferred.

  • Experience with ConocoPhillips iLogistics reservation system is preferred.

  • An equivalent combination of education and experience is preferred.

WORKING ON THE NORTH SLOPE

While working on the North Slope of Alaska, your lodging and food will be provided to you. All camps provide warm meals and options to grab a quick lunch or snack from the spike rooms. Rooms vary from single status to shared rooms where your roommate may work the opposite shift. Wi-Fi and Internet is free and available within the camp. Services vary depending upon where you are staying; however, most facilities offer housekeeping, self-serve laundry, commissary, mail, gyms, TV/Theater Room, etc. Each facility will have its own accommodation and policies that will be reviewed upon on-site orientation.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

The physical demands and work environment requirements outlined below are representative of those necessary to successfully perform the essential functions of this position. A post-offer, pre-hire Functional Capacity Evaluation (FCE) will be conducted to ensure an employee's ability to safely meet job standards.
