Job Title: Customs Brokerage Team Lead

Job Location: Indianapolis, Indiana

Import Supervision:

The Sector Team lead is responsible for processing shipments to meet their daily KPI. The team lead may be responsible to produce more files dependent on the direction from the Sector Manager or the Director.

The duties of the Sector Team lead include but are not limited to:

Note: The Sector Team lead must ensure he/she exercises responsible supervision, as outlined in 19 CFR 111 at all times.


Customs and Border Protection (CBP) Responsibilities:

  • Lead a team of Customs Operations Specialists performing the customs entries.

  • Ensure Customs clearance is completed in a timely and efficient manner by the team.

  • Ensure adherence to internal compliance standards and guidelines.

  • Interact with Customer Service, Product, and Global Service Centers, if required.

  • Manage and maintain Sector ComBox Mailbox.

  • Open hot files and scan in docs if not opened within 4 hours, (sort by importance, keys words, Urgent, Storage, LFD).

  • Assist in actioning "NOT ON STATEMENT" entries. Monitor emails, 8-day report, etc.

  • Manage daily reports as assigned by the Sector Supervisor/Sector Manager

  • Follow the work instructions for the Sector standard.

  • Update the PD board with the weekly QM rate, Key Performance Indicators (KPI) and Demurrage Detention and Storage (DDS).

  • Prepare cancellation packets (prior to the statement date) and Post Summary Corrections (PSC) packets.

  • Assist with any special projects or tasks assigned by your Sector Supervisor/Sector Manager

  • Own and manage accounts assigned to your team, be aware of challenges, and take the lead on calls for those accounts.

  • Make sure the work assigned to EP's is actioned by ongoing follow-up and follow through to completion. Ensure employees create daily shift turnovers with entries not touched for reassignment/redistribution by ETA aging.

  • Ensure Compliance with all CBP and all Other Government Agency regulations is followed.

Production and Quality Responsibilities:

  • Ensure operation is following CBP regulations and DHL Global Forwarding policies, procedures, and standards.

  • Perform daily work distribution checks:

    • Files are opened timely out of Multihub.

    • All files on ground and/or with aging ETA's are assigned to entry processors timely.

    • Entry processors are working on the files that have not been finalized due to additional questions or documents need to support the transmission.

    • Customer profiles are up to date and utilized including CAT's and Fee profiles.

    • Ensure customers that are eligible for GSC EDI Processing are properly transitioned.

  • Ensure all corresponding exceptions and notes are entered properly and timely in CM.

  • Assist with any questions and concerns of the team.

  • Continually monitors the oldest to newest files to avoid any DDS, or customer dissatisfaction.

  • Validate classifications when CAT is not used.

  • Help the team understand performance targets and goals.

  • Perform corresponding teach-backs to processors when QMs are issued.

  • Perform file audits according to standards.

  • Work with low-performance processors on improving their daily productivity and quality.

  • Ensure the Quality Management process is adhered to.

  • Ensure Cancelations and PSCs are processed and uploaded timely to the SharePoint site.

  • Ensure closed files are audited and time stamps issued and actioned immediately.

  • Provide staff training and development.

  • Monitor, take action and eliminate CM, CBP, and ABI rejects.

  • Ensure the Client Database is updated as new information becomes available.

  • Actively review and manage validation reports and override if needed to make sure internal controls are adhered to.

  • Flexibility with work schedule & hours to support the team. This includes working a weekend schedule to support customer requirements.

Customer Service Responsibilities:

  • Provide customer services and education in order to meet CBP requirements.

  • Establish and maintain a working relationship with key customers, internal departments, and external departments within the organization.

  • Issue and maintain customer-specific standard operating procedures for customers with procedures outside of the normal daily requirements.

Fiscal Responsibilities:

  • Ensure transmitted entries contain all documents (properly uploaded and labeled in EDM) prior to going to billing for processing.

  • Ensure you are auditing all files on the high-value report before approving.

  • Ensure the entry processor is checking Customer credit prior to transmission to avoid AR issues.

  • Review all transactions with cash outlay greater than $10,000 and obtain payment arrangements.

  • Ensure PSC's and cancellations are transmitted timely to avoid outlay of duties in error.

  • Ensure correction policy is followed regarding corrected invoices.

Skills / Qualifications:

  • Extensive knowledge of customs requirements and operational processing of customs activities.

  • Long-term experience and proven track record in the customs segment.

  • Fit for people management role.

  • Brokerage license (preferred).

  • Proficient decision making skills.

  • High degree of written, verbal, and organizational skills.

  • Diligent attention to details.

Pay Range: $22.91 - $30.55/hr. (Based on Experience)
