POSITION SPECIFICS

We are seeking a highly capable and experienced Administrative Support Manager to provide executive support to the All-Domain Analytics and Signatures Office (A2SO) office and lead and manage A2SO's administrative support functions. This role requires a strategic and operational mindset, excellent judgment, and strong interpersonal skills. You will report directly to the Head of A2SO and be responsible for leading, training, and managing, in close coordination with Division Leadership, the office's administrative support team. In addition, you will manage the operational activities of the office and be expected to work closely with other Administrative Support Managers across the laboratory.

The All-Domain Analytics and Signatures Office (A2SO) of the Applied Research Laboratory (ARL) at Penn State is a multidisciplinary team focused on delivering government-owned solutions in sensing, analytics, visualization, and full-spectrum effects to address national security and defense challenges. A2SO consists of five divisions: Visualization and Decision Support; Navigation Research and Development; Spectrum and Signatures Solutions; Geospatial, Image, and Data Science; and Multimodal Sensing and Systems.

A2SO operates in a dynamic, fast-paced, and often ambiguous environment in close partnership with U.S. federal sponsors.

You will:

  • Lead, train, and oversee all A2SO administrative support staff, ensuring a high level of professional support across all five divisions and the office
  • Serve as a trusted point of contact and representative for the Office, managing executive communications and requests with discretion and professionalism
  • Manage the inboxes, calendars, and action items for the office
  • Triage priorities and ensure timely execution of administrative tasks
  • Develop and maintain working relationships with relevant PSU and ARL offices
  • Coordinate across ARL's technical and enterprise offices, maintaining alignment with laboratory-wide procedures and best practices
  • Draft, track, and route documents for review and signature
  • Manage tasking, feedback, and responses across A2SO
  • Oversee planning and logistics for office-wide events, visits, and public engagements
  • Maintain office compliance with required training, onboarding, and policy dissemination
  • Support office hiring processes for administrative roles, including interviewing
  • Onboarding, and training, ensuring close coordination with division and/or office leadership
  • Ensure consistent operations across A2SO via consistent training, hiring, and onboarding practices
  • Coordinate handling moves, space allocation, and related logistics
  • Summarize data in a variety of formats including spreadsheets, graphs, presentations, etc.

Required skills/knowledge areas include:

  • Proficiency in Microsoft Office (PowerPoint, Word, Outlook, and Excel)
  • Prior supervisory experience
  • Proven ability to lead teams, manage administrative operations, and resolve complex issues in a fast-paced environment
  • Strong professional presence with excellent communication and interpersonal skills across diverse stakeholders
  • Experience managing confidential information and supporting senior leaders
  • Demonstrated ability to navigate ambiguity, prioritize tasks, and make informed decisions
  • Demonstrated ability to manage complex organizational dynamics, navigate conflict, and lead through challenges
  • Ability to obtain a Top Secret/SCI clearance (TS/SCI preferred)

Preferred skills/knowledge areas include:

  • Experience in a government, defense, or research environment
  • Demonstrated experience in executive-level support
  • Familiarity with ARL operations and Penn State administrative systems

This position is fully on-site at Penn State University, State College, PA.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

Associate Degree 8+ years of relevant experience, includes 3+ years of supervisory experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $51,000.00 - $74,000.00.**THE PROPOSED SALARY RANGE MAY BE IMPACTED BY GEOGRAPHIC DIFFERENTIAL**
