Job Summary
The Craft Onboarding Coordinator is part of the Craft Recruiting team and supports the Recruiting and onboarding teams with all non-union craft applicants/new hires/rehires/transfers once an offer has been accepted, coordinating all necessary employee onboarding activities, including substance abuse testing, medical testing, and other post-offer/pre-employment/pre-access activities. This role will deliver exceptional customer service and reliable answers to candidates, employees, and people managers, as well as execute on efficient processes resulting in a more consistent and seamless applicant/new hire/transfer experience.
Essential Functions
- Actively supports the Company's commitment to safety and its "Core Values".

- Supports the non-union craft applicants/new hires/rehires/transfers through their onboarding/testing/training transactions once an offer has been extended and accepted. Completes high quality, timely, consistent, and accurate execution of HR transactional work and ensures compliance for onboarding activities while assisting new hires/rehires/transfers through the process.
- Ensures candidates complete the electronic onboarding process in a timely manner. Answers questions, provides HRIS system assistance, and follows up as needed to ensure all requirements are completed.
- Schedules and coordinates drug tests, identifying drug testing sites near the candidate's current location when needed and moving them through the process in a timely manner.
- Schedules and coordinates pre-employment/pre-access medical tests/requirements as necessary, including pulmonary function tests (PFT), fit tests (mask fitting), audiograms, fit for duty exams, physicals, etc.
- Coordinates pre-access safety and/or other client-specific training with operations management and the HSE department.
- Demonstrates a proactive and collaborative approach, working with HR, HSE and Operations colleagues and stakeholders to ensure timely and professional delivery.
- Seeks opportunities for continuous improvement within assigned scope of work. Proposes solutions and ideas to find more efficient ways to deliver onboarding support to craft new hires/rehires and operations.
- Maintains confidentiality and privacy of any personal or sensitive data in all interactions.
- Performs other responsibilities as required or assigned.
Qualifications
- 3+ years' office/administrative support or customer service experience; knowledge of principles and practices in Human Resources and Construction Industry strongly preferred.
- Bilingual Spanish/English skills highly preferred.
- Prior experience in an HR shared services function would be a plus.
- Excellent computer skills, including MS Word, Excel, and Outlook; previous HRIS database experience preferred.
- Excellent oral, written and interpersonal communication skills; excellent organizational and time management skills.
- Ability to maintain confidentiality a must.
- Strong detail orientation; must have the ability to prioritize work and meet deadlines.
- Passion for delivering excellent customer service with focused attentiveness and responsiveness to customer needs.
- Ability to work well under pressure and maintain a positive attitude.
- Ability to work overtime, including occasional evenings and weekends, as needed.
