Position Description

Performs varied and complex administrative duties in the management and coordination of a large specialized project and/or program. Requires independent judgment and application of established policies and procedures. Works under general supervision with evaluation based on overall results obtained.

About the Department and/or College

Presidential Lecture & Performance Series

Major/Essential Functions

Serves as the lead coordinator and administrator for the Presidential Lecture and Performance Series. This involves planning, coordinating, and facilitating all details surrounding each Presidential Lecture & Performance Series event; including but not limited to working with speakers bureaus/artist management companies; facilitating selection process of artists/performers/speakers for each performance; communicating with artists/management to facilitate all facets of performances/outreach activities/special events, workshops, etc.

Develop cost agreement/information within budget; prepare contractual agreements with bureaus/agencies; secure approval of contract administration and work with venue management, operations, and external production companies to assure contractual technical requirements can be fulfilled prior to signing contracts.

Plan the marketing for the series, including the design of ads, posters; brochures, coordination of all printed materials; serving as primary liaison to internal and external media sources for all news releases, radio/television ads/interviews.

Work directly with internal and external constituents to promote events and encourage participation at masterclasses, lectures, workshops, and concerts.

Build and enhance partnerships with local arts organizations in the community by volunteering and fostering relationships.

Analyze event attendance and cost reports to develop effective and appropriate marketing strategies that will aid in audience diversification; Conduct regular research and obtain information on competitiveness of ticket pricing, events, relevance, etc.

Assists the Senior Executive Director of Campus Events and the Director of Presidential Events with planning, coordination, implementation, and hosting of additional university events (unrelated to PLPS) and works independently on various events and projects as assigned.

Assists with additional projects within the Office of the President or the Office of Campus Events as needed.

KNOWLEDGE, SKILLS, AND ABILITIES
Exceptional customer service skills and ability to work and interact with diverse populations. Superior attention to detail. Ability to communicate and work with all levels of management in a professional, appropriate and courteous manner. Ability to handle multiple projects/events. Must possess excellent written and verbal communication skills including strong writing, proofreading, and editing skills.

Required Qualifications

Bachelor's degree in the area of specialization or closely related field. Three years of related administrative and technical experience. Additional job related education may be substituted for the required experience on a year-for-year basis.

Preferred Qualifications

Work experience in any of the related industries: music, film, theater, fine arts, higher education.

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES
Experience in planning events along with knowledge of concert and theatrical production is preferred. Demonstrated experience with marketing strategies and website management. Skilled in negotiation with venues and vendors. Public relations experience with internal and external constituents. Ability to establish relationships with an arts community to initiate and foster engagement and involvement with a presenting program. Knowledge of current international trends in performing.
