This position of Document Control Lead will oversee document management systems for JLL and its client. The candidate will manage the accuracy and integrity of business documents throughout the document life cycle, which includes filing, archiving, retrieving, purging, and destroying. The document control lead must maintain internal and legal privacy rules, as they may encounter confidential and sensitive information through the course of their work. They must be proficient with scanning equipment and software applications, as document management systems increasingly involve scanning and electronic archiving. Document control managers typically work in an office environment, specifically in an office and file room, during regular business hours.

Experience working with records management systems is desirable. A document control lead must be self-directed and possess a high level of attention to detail and accuracy. He or she must be able to monitor the larger document control systems and troubleshoot areas of inefficiency. The Document Controls Lead will be well versed in industry-specific terminology and have a comprehensive understanding of industry-relevant workflows and processes. The Document control lead must have a solid grasp of relevant regulations and understand legal implications of document storage and retention periods. They must possess excellent interpersonal skills, since they will likely coordinate with different departments and external stakeholders.

Document Control Lead Tasks

  • Own, document, and review the documentation process, including compliance and control.
  • Develop in person and written training materials and protocols for specific user types.
  • Create and maintain master documents and procedures for altering documents and their properties.
  • Manage day-to-day and strategic plan for document review, approval, archival, and quality control.
  • Create and Manage Building, Floor & Room Code Data
  • Input Building Architecture for all client owned and leased properties
  • Create and manage building/room number grid
  • Modify Building Architecture during PDS projects for all client owned and leased properties
  • Create, store and manage EVAC Maps during projects
  • Own the Move and Project Closeouts processes and procedures.
  • Test AutoCAD and Archibus document platforms.
  • Manage WALUS program and requests
  • Own the MEP Drawings updates, requests and archival.
  • Own the RCP Drawings updates, requests and archival.
  • Own the Architectural AsBuilt updates, requests and archival.
  • Own the Special Event Maps updates, requests and archival.
  • Own the Jack ID Integration into Archibus - (should be in Data/Cable scope)
