SUMMARY

The Senior Operations & Planning Associate is responsible for supporting and enhancing the day-to-day operational functions of Sequent Planning.

ESSENTIAL DUTIES AND RESPONSIBILITIES



  • Establishes and maintains relationships with field advisors, home office, business partners, and vendors to provide assistance with workflow and escalated problems


  • Conducts orientation sessions and on-the-job training for advisors


  • Reviews records and reports pertaining to daily activities and escalates, delegates, or executes measures to remedy identified issues


  • Compiles, sorts, and verifies the accuracy of data before it is entered and compares data with source documents, or re-enters data in verification format to detect errors


  • Verifies accuracy of billing data, locates and corrects data entry errors, documents and reports all issues to supervisors


  • Prepares itemized advisor statements consolidating all revenue sources such as fees collected, records amount due, and contacts advisors to obtain or relay account information


  • Manages trade instructions and reconciles account activity


  • Oversees client fees and advisor billing


  • Ensures compliance with internal controls and regulatory requirements.


  • Flags, documents, and escalates complaints to the CCO


  • Maintains logs of activities and completed work



QUALIFICATIONS

EDUCATION / EXPERIENCE

High School Diploma or GED; or a combination of education and experience

Bachelor's Degree in Business, Finance or related field

Five (5) or more years of operations back-office experience in financial services, or an equivalent combination of industry training, designations and experience

Series 65 license or equivalent

SKILLS

Knowledge of the financial services industry.

Knowledge of the general industry procedures, practices and terminology.

Knowledge of accounting and budgeting principles and procedures.

Knowledge of general office forms, processes and procedures.

Knowledge of program and project management including outcomes, quality assurance, and satisfaction measurement and interpretation.

Knowledge of techniques to accomplish instruction, motivation and training of personnel.

Skill in negotiating and problem solving to resolve internal and external conflicts.

Skill in developing effective communication materials for in-house use as well as with the field.

Skill in the use of office equipment including computer, fax, printer, telephone system, etc.

Proficient computer skills (Microsoft/Word, Excel and PowerPoint software preferred).

Ability to analyze and accurately interpret budgets, financial reports and statistical data.

Ability to communicate effectively, both orally and in writing, in a constructive manner.

Ability to approach and communicate with a wide range of personalities in a professional and courteous manner.

Ability to engage in effective interpersonal interaction, verbal communication and written communication.

Ability to maintain a high level of organization and attention to detail while remaining flexible and responsive when faced with multiple urgent requests.

Ability to work independently, exercise independent judgment, make and execute decisions

Ability to demonstrate organizational leadership qualities and develop and foster trusting relationships.

Ability to maintain a flexible work schedule to include evening and weekend hours as needed.

Ability to maintain all company policies, including all confidentiality and safety policies.
