Job Description:
- Operates the college's receiving and warehouse operations by receiving, storing, shipping, and inventorying supplies and equipment according to established policies and procedures.
- Receipt, delivery, and shipment of goods and maintaining receiving documentation.
- Coordinates all shipments leaving the campus from the receiving department.
- Assist with contacting vendors regarding late orders or problem orders to resolve discrepancies so orders can be received in sufficient time.
- Maintains all receiving files and documentation.
- Works closely with and assists other receiving staff with receipt of goods, delivery of goods, and shipment of goods, to include unloading deliveries, verifying deliveries, and delivering to the end user within the established timeframe of receipt of items.
- Ensure proper documentation accompanies receipts, deliveries, and shipments for all goods and services according to State, VCCS, and college guidelines.
- Ensures that receiving is processed in eVA promptly to ensure prompt payment requirements are met.
- Process all Purchase Orders in eVA electronically and ensure the eVA report is reconciled monthly.
- Coordinates with vendors and other internal and external customers as needed to ensure the agency's mission is met.
- Also assures delivery of paper, catalogs, and schedules is completed within the established timelines of the request.
- Operates forklift safely and efficiently.
- Assists in the mailroom as needed.
- Process all college surplus property according to VCCS, college, and state policies.
- Assists with tracking and maintaining an ongoing list of locally disposed assets.
- Assists with maintaining records of assets sold through Gov Deals.
- Maintaining surplus files, ensuring agency compliance with all applicable policies.
Required Knowledge:
- Contemporary warehouse methods, practices, terminology, standards, and techniques for a wide variety of materials, supplies, tools, and equipment, including automotive parts.
- Basic knowledge of supply principles.
- Inventory system control and maintenance, including cyclical, perpetual, and physical.
- Common clerical procedures, including filing, typing, and record keeping.
- Familiarity with the safe operation of forklifts and other warehouse equipment.
Required Skills:
- Excellent customer service skills.
- Proficient in computer programs, such as Excel and Word.
Required Ability:
- Determine appropriate stock levels, lead times, and reorder points based on usage and expiration dates.
- Interpret and comply with applicable local, state federal policies, procedures, and regulations.
- Effectively communicate written and oral.
- Manage multiple tasks and prioritize as applicable.
