Essential Job Responsibilities:

The Benefits Specialist is responsible for the timely processing and accurate completion of all bills related to employee benefit plans per the terms and conditions of the benefit plan contracts and collective bargaining agreements.



  • Learns and understands how timekeeping systems work with accounting deadlines and payroll deadlines for reporting accuracy.
  • Retrieves, prints, and reviews all required incoming monthly bills and information from various sources (portals, email, ADP Vantage, etc.).
  • Reviews bill enrollment lists with payroll/benefit reports to determine covered lives for the time period, including those on LOA and COBRA to determine accuracy of the bills.
  • Ensures that rates and calculations of premiums are accurate. Must cross-check against various reports both internal and external, as well as ADP systems versus the contract or CBA.
  • Sets up deductions and accruals for benefit coverage (health, dental, life, AD&D, LTD, 401k and imputed income on company paid life insurance)
  • Calculates monthly premium billings and reconciles to benefit accounting system utilizing ADP Vantage.
  • Works directly with trusts and insurance carriers as needed on various payment issues for overdue invoices including the processing of any required adjustments.
  • Processes invoices by the due date each month.
  • Provides accounting and reports of hours and other relevant information for union health and welfare trusts by their due dates.
  • Assists as required with any audits initiated by health and welfare trusts.
  • Works with Payroll Accountants to clear up all outstanding benefit reconciliation items on a monthly basis.


  • Finds ways to streamline processes and procedures to ensure accurate reporting and meeting all billing due dates.
  • Documents procedures for completing each bill and keeping them up to date.
  • Responds to employees or trust office and resolves eligibility issues related to reporting.
  • Keeps billing tracking spreadsheet up to date.
  • Communicate with managers and employees to explain the leave administration process, and helps monitor leave time for employees, following up on required paperwork to include medical certifications.
  • Other duties as assigned.

Qualifications:

  • Associate degree preferred.
  • Minimum 3 - 5 years of related benefits or employee benefits administration work experience.
  • Advanced level of expertise in MS Excel.
  • Knowledge and experience with MS Word and Outlook.
  • Knowledge and use of Access Database Management a plus.
  • Spanish speaking capabilities is preferred but not required.
  • Proficient with learning systems applications, preferably experience with ADP payroll and benefit administration and Kronos time keeping systems.
  • Basic knowledge of pretax deductions (401k, HSA, health) and how they work.
  • Familiarity working with union employees and collective bargaining agreements desired.
  • Must have knowledge and desire to work with accounting and financial reporting.
  • Confidentiality and integrity are a necessity as this position deals with highly sensitive payroll and benefits information.
  • Working knowledge of the leave administration process.
  • Excellent communication and organization skills, as well as detail oriented.
  • Ability to adhere to strict deadlines and work well under pressure.


Supervisory Responsibilities: No

Work Environment:



  • Exposure to computer screens.
  • Required hybrid work schedule, at least 3 days/week in office.
  • The noise level in the work environment is usually moderate.
  • Required job duties are normally performed in a climate-controlled office environment.
