Essential Job Functions |
The
University Program Associate provides administrative and programming support for the Executive Director, University Tutorial Services, Academic Strategy Instruction, As-U-R, and Academic Services for Student-Athletes.
Primary responsibility will be to:
- work with the Executive Director to advance the vision and mission of the Student Learning Center, as well as, working closely with the Directors/Coordinators of other units (UTS, ASI, As-U-R, ASA)
- supervise federal work-study students and participate as an active team member of the units served
- work with the Executive Director and Directors of units (UTS, ASI, As-U-R, ASA) to integrate services from various components and improve the quality of academic services to students
- provide budget management including state, federal, and private grants
- reconcile each account monthly, processing budget transfers, and other facets of budget management are functions
- assist in marketing and coordination of activities, create events and written materials, coordinate scheduling of rooms needed for the courses and academic programs during the academic year, during summer sessions, and for meetings and other activities of the Student Learning Center
- purchase supplies and miscellaneous items (this includes holding and reconciling a University P Card)
- provide exceptional customer service by answering questions from the general public, prospective students, current students, parents, and campus offices about the services of the units served
- maintain and follow through on details, acting as a liaison between the Student Learning Center and other major constituents on campus (all areas of Enrollment Management, academic departments, dean's offices, support service areas such as the Physical Plant, Special Funds Accounting, and Motor Pool)
- provide administrative support with Excel, Access and Word files as well as hard copy items for the Executive Director
- assist unit Directors in managing the details in calendaring for the academic year
- interpret academic and financial policies and procedures; develop and interpret department policies and procedures
- assist in managing record information; gathering, analyzing, editing, and reporting data for state and federal reports required by the various programs served
- work closely with the Executive Director of the Student Learning Center on organizational workflow, growth initiatives, and event planning

- Ability to develop and maintain productive and collaborative work relationships in order to facilitate effective service in assigned areas.
- Ability to lead or supervise administrative support staff in the performance of program activities and/or functions.
- Ability to mentor and assist others
- Ability to convey information with references to guidelines, systems operation, policies and/or procedures or other sources.
- Ability to compose communication using a variety of media to convey meaningful information to an individual or group.
- Experience with budgets, student information systems in higher education, and Microsoft office applications.

Preferred Qualifications |
- Proficiency in MS Office programs, especially Word, Access and Excel.
- Proficiency in Banner, Student Information System - Banner, and E-print
- Understand the guidelines developed by the State of North Carolina and Appalachian State University regarding the management of state, federal, and ASU Foundation funds.
- Prefer 5 - 10 years of progressively responsible administrative support experience.
- Ability to work effectively with a variety of personalities in a helpful, congenial, and professional manner and the ability to multi-task.
- Knowledge of University language and community
- This position must independently, accurately and efficiently enter data into federal and state reports, payroll, and student records, and have excellent organizational and time management skills.

Ability to generate reports with varying standards of application. Ability to reconcile and manage accounting records of moderate variety and complexity, including preparation of financial statements and reports.
