Job Description

Westat is an employee-owned corporation providing research services to agencies of the U.S. Government, as well as businesses, foundations, and state and local governments. Westat's research, technical, and administrative staff of more than 2,000 is located at our headquarters in Rockville, Maryland, near Washington, DC.

The Executive Assistant to the CEO will provide high-level administrative support to the CEO and other senior executives. This forward-facing role is ideal for someone who thrives in a fast-paced, mission-driven environment and brings both the meticulousness of an administrator and the foresight of a strategic collaborator. This role is hybrid, with a typical work week including 4 in-office days. Westat is in Rockville, Maryland, and will be relocating to Bethesda, Maryland, in November 2025.

This role is representative of the CEO in all dealings, with employees, leadership team, Board members, external partners, etc. and must maintain professionalism, responsiveness, and utmost discretion at all times, especially in handling confidential information.

Key Responsibilities:

  • Manage the calendars of the CEO, COO, and CIO, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and facilitate all leadership and board meetings, taking the lead in ensuring the coordination and preparation of meeting materials and provide logistical and technical support during meetings. Develop and refine meeting agendas and briefing materials; set deadlines for deliverables. Provide administrative follow-up on decisions and action items. Included is maintaining organized records and archives.
  • Collaborate with General Counsel on legal invoice processing and follow up, Stockholder Meeting and Board Election preparations, Ethics Compliance Committee meeting scheduling and planning.
  • Support and manage special projects and requests to meet the strategic objectives of the executive, including conducting research and compiling data.
  • Prepare and edit correspondence, communications, presentations, and other documents. Prepare budgets and complete expense reports.
  • Collaborate with the Communications team to draft and edit communications, including speeches, memoranda, correspondence, policies, announcements, talking points, and other materials to ensure content is clear, compelling, and in alignment with company messaging.
  • Prepare, coordinate, and help manage social media messaging.
  • Serve as a liaison between the CEO and other stakeholders, both internal and external.
  • Implement efficient processes to support the executive's productivity.

Basic Qualifications:

  • Minimum of 8 years of experience in an executive assistant role, supporting C-level executives and/or Board members.
  • Demonstrated communication skills.
  • Advanced knowledge of Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook).

Preferred Qualifications:

  • Bachelor's degree or equivalent experience.
  • Ability to adapt to changing priorities and manage multiple tasks simultaneously.
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
  • Strong problem-solving skills and attention to detail.
