Position Summary |
The Administrative Associate I serves as the primary point of contact for The Fontaine Center and offers aid and support to staff, students, and campus partners. This position requires effective and professional communication skills, as well as a comprehensive understanding of departmental policies and procedures pertaining to alcohol and other drug (
AOD) education, relationship and sexual violence prevention, sexual health education, and nutrition services. The position reports to the Office Manager for
CAPS and The Fontaine Center and plays a vital role in ensuring day-to-day operations run efficiently in support of health promotion and prevention services offered to students. |
Knowledge, Skills, Abilities and/or Competencies |
* Knowledge of Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
* Strong interpersonal communication skills; able to engage effectively with students, families, staff, and campus partners.
* Demonstrated attention to detail and ability to manage multiple priorities.
* Demonstrated understanding of Point N Click schedule and electronic medical record system.
* Ability to handle confidential information with discretion and adhere to
HIPAA and
FERPA guidelines. |

Front Office Administration:
* Answers and directs incoming and outgoing telephone calls, faxes, mail and deliveries.
* Schedules appointments for clients in an accurate and timely manner.
* Receives clients who present for appointments. Verifies correct client information and ensures proper paperwork is completed and appropriate charges are authorized on client billing tickets.
* Maintains accurate files for
AOD programs, sends client surveys at appropriate times, and works directly with students and judicial agencies.
* Maintains and respects confidentiality of client and student information.
* Fields calls for mandated
AOD and Sexual/Interpersonal Violence Prevention on-line program. Verifies completion of program and removes holds.
* Responsible for data entry and maintenance of various databases, such as program participant tracking and program assessment databases.
* Provides administrative support including copying, filing, tracking usage of office resources, ordering supplies, and maintaining the departmental calendar (scheduling and meetings).
* Processes billing for fee for service appointments in the Fontaine Center. |

Program and Marketing Material Coordination:
* Serves as main administrator for online request system for printed materials and sexual health supplies.
* Assists staff with preparation of supplies and materials for campus and off campus programs.
* Assists the Sexual Health Coordinator in receiving, preparing and dispersing Condom Express Orders.
* Operates various office machines such as PC, copy machine, paper cutter, paper folder and business card slitter. Trains staff, student workers, interns, and volunteers on office machines as needed.
* Assists in the coordination and monitoring of student workers and their related tasks. |
