Acara Solutions is looking for a Senior Project Coordinator for in Queens, NY.

Salary range: 80-100K
The role involves coordinating project activities with the PMO team to ensure effective planning, execution, and monitoring of projects. Key responsibilities include driving project success through timely task completion, overseeing billing and invoicing, and managing documentation to ensure compliance and accessibility. The position requires actively participating in meetings, capturing minutes, and tracking action items. Additionally, it involves monitoring key performance indicators (KPIs) to assess project effectiveness and facilitating communication among stakeholders. Overall, the role emphasizes accountability, reliability, and integrity in project management, contributing to a culture of excellence within the team
Responsibilities:
  • Project Coordination: Partner with the PMO team in planning, executing, and monitoring project activities with a strong focus on billing and financial competency to ensure alignment with project objectives and timelines. Assist in planning and implementing strategies to align and coordinate with the master planner for work activities when required.
  • Billing and Invoicing: Take the lead in the billing process by collecting invoices and ensuring timely payments to vendors while diligently tracking project-related expenses to maintain financial accuracy.
  • Documentation Management: Organize, maintain, and update all project-related documentation, including reports, schedules, correspondence, and project letters, to ensure easy access and clarity.
  • Procurement Management: Work with the procurement organization, both internal and external, to ensure the timely acquisition of necessary materials and services for project success.
  • Meeting Participation: Attend project meetings, take minutes, and distribute meeting notes to keep all stakeholders informed on project progress and action items. Track and coordinate action items with their respective owners to ensure timely follow-up and resolution.
  • KPI Tracking: Monitor key performance indicators (KPIs) to assess project success and effectiveness, providing insights and reporting on progress toward project goals.
  • Stakeholder Communication: Enhance communication among project team members, stakeholders, and external partners to promote teamwork and effectively address project needs.
Accountability:
  • Accountability for Project Success: Ensure the timely and efficient execution of project tasks, playing a crucial role in driving overall project success.
  • Accountability for Documentation Accuracy: Maintain and uphold accurate and comprehensive documentation, ensuring adherence to organizational standards and practices.
  • Accountability for Financial Oversight: Oversee compliance with financial processes related to procurement and invoicing, thereby supporting effective project budget management and financial integrity.
  • Accountability for Communication Effectiveness: Serve as the primary liaison between project teams, procurement, finance, and clients, ensuring clear and effective communication that advances project schedules and facilitates stakeholder engagement.
  • This role is essential for facilitating smooth operations within projects, supporting project managers, and ensuring that all team members are aligned and informed.
Job Requirements
Required Skills / Qualifications:
A degree in Project Management, Business Administration, Engineering, or a related field is typically required.
Mandatory: A minimum of 3-5 years of experience in project coordination or a similar role, preferably in a project-based environment.
Financial Management Training: Coursework or certification in financial management or accounting can enhance oversight capabilities regarding project budgets
Desirable:
Master's Degree (optional): A Master's degree in Business Administration (MBA) or a relevant specialty may be preferred for advanced positions.
Communication Skills Development: Training in effective communication and stakeholder engagement may be advantageous.
