The project coordinator supports all administrative duties in CLASS and oversees the day-to-day management. This position establishes, maintains, and ensures compliance of department records; assists with budgetary matters; tracks department purchasing compiles reports, and monitors assigned projects and/or program components. In addition, the position acts as the mediator between the Student Support area and our tutoring services. The position will organize and coordinate CLASS administration and procedures, to ensure organizational effectiveness and efficiency. This job requires onsite presence at the Campus. This position reports directly to the Executive Director of Academic and Student Support
This position is funded through a grant, and continued employment will be contingent upon future funding availability.

Essential Duties & Responsibilities

- Oversee and support all administrative duties in CLASS.
- Delegate academic alerts to Academic Support Specialists within CLASS and other related departments.
- Responsible for scheduling, hiring, and overseeing student tutors, including those in STEM.
- Coordinating the academic support expansion for biology and chemistry students within the Health Sciences.
- Manage office budget, process and submit purchase orders and invoices; resolve billing discrepancies.
- Manage relationships with vendors and service providers to ensure that all items are invoiced and paid on time (catering, printing, online tutoring software).
- Provide other administrative support as necessary, including scheduling group meetings and maintaining calendars for the team.
- Maintaining shared OneDrive and organizing projects and resources as needed.
- Support enhanced tutoring and academic assistance while recommending targeted interventions for STEM students.
- Provide coordination for the summer bridge program.
- Gathers, enters, and/or updates data to maintain records and databases; establishes and maintains files and records.
- Receive and sort incoming mail and deliveries and manage outgoing mail, most notably in the months prior to the Spring semester.
- Assists with project development and planning to ensure more efficient service and organization.
- Composes and prepares written documentation and creates reports using Navigate and Informer.
- Assists in the coordination, supervision, and completion of special projects as appropriate.
- Performs miscellaneous job-related duties as assigned.

Qualifications
-
- Bachelor's degree preferred in business administration, communications, or a related field.
- 2 years preferred of work experience in an administrative/office management role in higher education.
- Must have exceptional attention to detail.
- Excellent communication and interpersonal skills.
- Strong problem-solving skills and analytical abilities.
- Must be proficient with Google products and Microsoft Office.
- Leading and managing multiple projects simultaneously, excellent time management skills, organized, detail-oriented.
- Collaboration - demonstrated ability to collaborate with people from a wide variety of skill sets and backgrounds via written or oral communication.
- Flexibility and Adaptability - Ability to work quickly, effectively, and flexibly in a deadline driven environment.
Knowledge, Skills and Abilities (KSAs)
- Proficiency with Microsoft Office processing skills
- Ability to effectively work in a collaborative team environment and independently
- Ability to multitask
- Ability to keep communication open and move forward with project in a productive manner
- Knowledge of Navigate (CRM) preferred
- Experience using a learning management system (LMS) Canvas experience preferred
- Ability to simultaneously assist with multiple projects with tight deadlines
- Ability to be detail oriented
- Ability to communicate with people from diverse backgrounds and expertise
Description of Hours: Monday - Friday 8:30 am to 4:30 pm
