Job Summary

The Events Coordinator will provide events support to the UCSF Otolaryngology Education Office. The Events Coordinator is responsible for planning, organizing, and executing a variety of events in support of the academic, research, and clinical missions of the medical center. This role collaborates with faculty, staff, and external partners to coordinate conferences, symposiums, workshops, fundraising events, and internal meetings. The Events Coordinator manages logistics, including venue selection, catering, audiovisual setup, registration, and communications, ensuring seamless event execution. Additionally, they oversee budget management, vendor negotiations, and compliance with institutional policies. The ideal candidate is highly organized, detail-oriented, and adept at managing multiple projects in a fast-paced environment. Strong communication, problem-solving, and customer service skills are essential to success in this role.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $82,600 - $123,900 (Annual Rate).

Department Description

The Department of Otolaryngology - Head and Neck Surgery is a clinical department at UCSF that combines superior resident and medical student training with the highest quality of patient care. Beyond our offices, clinics, and laboratories within the 107-acre UCSF Parnassus campus above Golden Gate Park, our Department reaches into the Moffitt Long Hospital, the Ambulatory Care Center, the Medical Center at Mount Zion, and shares UCSF's partnerships with Zuckerberg San Francisco General Hospital (ZSFG) and the San Francisco Veterans Affairs Medical Center (SFVAMC). Divisions within OHNS include Pediatric Otolaryngology, Head and Neck Surgery, Laryngology, Otology, Rhinology, Minimally Invasive Skull Based Surgery, Facial Plastics, and Sleep Disorders. The department ranked #1 in Northern California by US News and World Report for 2021 and number 5 in the nation. We also have a robust research enterprise with 10 PhD faculty, and $10M in sponsored research budgeted for FY25. OHNS has consistently been in the top 10 institutions for NIH funding. The department has an ACGME-accredited residency program with 25 residents. In addition, 4 fellows receive subspecialty training annually.
The Events Coordinator will provide administrative and analytical support to the UCSF Otolaryngology Education Office. Responsibilities include support of the residency and fellowship programs in concert with the lead Education Manager; coordination of 35-40 annual departmental events; coordination of the medical student rotations; coordination of courses in the department's dissection classroom; and, coordination in planning educational offerings by individual divisions in the department.

Required Qualifications


  • Bachelors' degree in related area and / or equivalent experience / training.
  • Minimum 3 years of related experience
  • Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.
  • Demonstrates good judgment in making decisions and managing events. Skill in effectively meeting budget and time constraints.
  • Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus for fundraising events. Skills to provide excellent donor stewardship.
  • Highly developed interpersonal communication skills including political acumen and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.
  • Highly developed judgment, decision-making and problem recognition / avoidance / resolution skills, including skill in determining those issues / problems that need to be brought to management's attention.
  • Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.
  • Ability to effectively work with invited guests, donors, government officials and university VIPs.

Preferred Qualifications


  • Thorough knowledge of the campus, its vision, mission, programs, policies, achievements and infrastructure. Knowledge of University policies and procedures relating to the use of University facilities, event management and presentation.
  • Knowledge of principles and practices of volunteer recruitment, supervision, motivation and evaluation.
  • Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines.
  • Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large scale gatherings.
  • Ability to give clear directives and use independent, rational judgment to make optimal decisions.
  • Knowledge and skill to set and monitor work standards and protocols.
