Summary of PositionThe Sites & Infrastructure Operations Coordinator is an integral member of the Sites and Infrastructure team assisting with all aspects of the Sites and Infrastructure programs and providing direct support to all members of the team. Duties include performing various operational and project tasks, communications to internal and external stakeholders involved with the Sites and Infrastructure programs and calendaring/scheduling for those programs' events and meetings. Duties and Responsibilities*Provide high quality and timely administrative support for the VP of Sites & Infrastructure and the team's various programs. *Administrative support includes but is not limited to: *Manage all requests for the VP's professional calendar. Process all requests for meetings, events, and appointments. Resolve conflicts as needed. *Handles sensitive matters and requests with discretion, diplomacy and confidentiality; *Prepare corporate credit card expense reports, keeping track of and attaching all relative documentation (e.g., receipts) for the Vice President; *Arrange travel plans (e.g., air flights, ground transportation and hotel reservations) and ensures pertinent information is discussed and/or provided (e.g., time of flights, lay-overs and delays, options of ground transportation). *Draft letters, emails, and other communications on behalf of the Vice President and other team members as required *Periodically brief the team for any upcoming meetings and provide useful context and insights *Prepare various materials to support the team including agendas, minutes, presentations, and reports. Capture and coordinate follow-up actions and ensure deliverables are received in timely manner *Help manage Sites and Infrastructure stakeholder relationships and ensure the smooth flow of communications *Coordinate day-to-day support of the team by becoming well versed in all programs managed by the Sites and Infrastructure Team. Manage memberships, sponsorships, and business-related accounts on behalf of the Sites and Infrastructure team *Other duties and projects as assigned Experience Requirements *3-5 years of prior experience in program operations and scheduling and/or project coordination/management *Scheduling and calendaring for programs/projects *Ability to maintain a professional demeanor with internal and external partners and demonstrate the highest level of service *Strong relationship management skills coupled with a teamwork mentality *Excellent organizational skills with high attention to detail *Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on projects to successful completion *Forward thinker who proactively seeks support opportunities and proposes solutions *Strong decision-making and problem-solving skills *Adaptable, flexible, and resourceful with the ability to work effectively with little supervision *Ability to handle confidential information with discretion *Comprehensive proficiency in Microsoft Office suite Education Requirements*Bachelor's degree preferred in business, economic development, real estate development, political science or related field JobsOhio is proud to be an equal opportunity employer.
