SUMMARY
This is an opportunity to join a growing, dynamic and responsible company that fosters the development of our employees. We are seeking a Training Administrative Assistant. The position will be based in Louisville, KY and the role is not eligible for relocation assistance.

This role is for an assistant supporting a VP of Engineering and Training who oversees multiple corporate departments and has significant external industry committee responsibilities. This role will need to handle a mix of administrative, strategic, and organizational tasks, and is crucial in ensuring the smooth and efficient operation of the departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES


  • All team members must embody the company mission to provide protection for people, property, and the environment in all aspects of their job.
  • Perform executive administration tasks for the VP including:

    • Calendar & Meeting Management: Scheduling, preparing materials, optimizing time, and managing follow-ups.
    • Communication & Stakeholder Management: Managing email inbox, liaising with internal and external stakeholders, coordinating industry committee tasks, drafting documents, and maintaining confidentiality.
    • Travel & Logistics: Arranging travel, registering for events, and managing expenses.
    • Project & Task Management: Tracking industry committee tasks, supporting company projects, managing documentation, and improving processes.


  • Executive Support & Miscellaneous Tasks:

    • Preparing presentations, assisting with research, and handling urgent requests.


  • Perform administrative tasks for specific departments including:

    • Engineering Department:

      • Administering reference material websites. Acting as a backup to the Engineering Coordinator for weekly schedule production.


    • Safety Department:

      • Handling ATF license paperwork, safety score measurements, vehicle safety driver score rankings, badging, DISA administration/drug screens, and qualifications paperwork for customers.
      • Administering of third-party safety qualification programs (ISNetworld and Avetta).


    • Quality System Department:

      • Following up on customer complaints, providing travel support for audits and site safety visits, and organizing quality system files.
      • Arrange quality steering committee meetings and produce meeting minutes.


    • Training Department:

      • Managing manufacturer website administration, internal communications, technician registration, tracking training availability and certifications, assisting with LMS administration, managing digital resources, preparing for and coordinating new employee orientations and organizing training files.

MINIMUM EDUCATION AND/OR EXPERIENCE


  • High school diploma or equivalent required; Bachelor's degree preferred
  • 1-3 years of experience in an administrative role.

Work Environment/Physical Demands


  • We're a hybrid first work environment, with majority of the work able to take place in a home office. Work in the office is required a minimum of one day a week (typically Thursdays).
  • Communication with co-workers will often be through web-meetings, chats, emails, and text messages.
  • Overnight travel is minimal for this role and will be less than 5% of the year but some may be required to travel for company meetings and at industry conferences.
