This team develops and maintains enterprise applications used across APL, and you'll play a key role in helping everything stay on track and supporting a group that's doing important work.

As a Group Administrator, you will...

  • Keep the group running smoothly by coordinating calendars, scheduling meetings, and managing logistics-including A/V setup and visitor access.
  • Greet and assist new hires and guests-you'll often be the first face they see, setting the tone with warmth and professionalism.
  • Support onboarding by coordinating workspace setup, equipment, and IT needs to ensure a smooth start.
  • Track budgets, expenses, staffing plans, and reports with precision and attention to detail.
  • Maintain organized group records and ensure shared folders and documentation stay up to date.
  • Plan and coordinate engaging group events, morale activities, and recurring team meetings.
  • Assist with travel planning, process expense reports, and support invoicing and shipping needs.
  • Occasionally presentations, and emails to ensure accuracy and polish.
  • Support recruiting efforts by scheduling interviews, tracking checklists, and helping keep the process on track.
  • Act as a liaison between the group and other teams, keeping communication smooth and timely.
  • Help manage office supplies, inventory, and space planning for the team's daily needs.
  • Pitch in to support teammates and take the lead on small projects that help the team thrive.

Qualifications

You meet our minimum qualifications for the job if you...

  • Have a bachelor's degree in business, communications, or a related field - or a high school diploma and at least 5 years of relevant experience.
  • Know your way around Microsoft Office and are familiar with systems like Workday or ServiceNow.
  • Are super organized and great at juggling multiple tasks without dropping the ball.
  • Communicate clearly, write well, and handle sensitive info with care.
  • Are upbeat, proactive, and enjoy helping others succeed.
  • Are able to obtain Secret level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

  • Have worked in a technical or IT-focused environment before.
  • Are familiar with APL tools and processes, including EBSS and Workday.
  • Have experience leading admin projects or improving processes.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
