Description
Why This Role Matters The Member Support Clerk plays a critical role in supporting the daily operations of the credit union by ensuring accurate sorting, distribution, and processing of internal and external mail, imaging important account documents, and providing support for member transactions. This role contributes directly to the operational efficiency and audit readiness of the credit union, while also supporting a positive member and visitor experience. What You'll Do Mail Processing & Distribution
- Process all incoming and outgoing mail for credit union departments, branches, and administration, ensuring correct postage and adherence to daily mailing deadlines.
- Sort and distribute all incoming mail received via the US Postal Service and other delivery services, ensuring accurate delivery to individuals or departments.
- Open and route all unaddressed mail based on content, ensuring proper departmental handling.
Transaction Processing & Member Support
- Process mail containing loan payments, account deposits, name and address changes, loan payoffs, and supplemental documentation (e.g., GAP or insurance processing) per credit union procedures.
- Reconcile and balance daily transactions and process all payments promptly to ensure timely credit to member accounts.
- Handle returned mail, verify addresses, and initiate member address updates as needed.
Document Imaging & Audit Support
- Scan and index recorded mortgage documents to support HELOC account documentation.
- Process and verify requests related to Skip-A-Pay, auto loan payoffs, HELOC payoffs, ACH requests, and account closures.
- Conduct preliminary audits to ensure that all scanned documents are accurately indexed and meet internal audit standards.
- Manage the imaging of wire documentation, centralized processing documents, and account/loan maintenance records, ensuring integrity prior to secure document destruction.
Vendor Coordination & Reception Coverage
- Maintain inventory of mailing and shipping supplies and oversee postage management.
- Coordinate with local auto dealers to ensure accurate auto loan payoff submissions.
- Staff the Corporate Office reception area as needed, ensuring that visitors are properly checked in and out and providing a professional, welcoming presence.
Notice Processing & Compliance
- Sort, prepare, and mail system-generated notices daily, including Courtesy Pay letters, plastic cards, escheatment letters, dormancy notices, dispute communications, and certificate renewal letters.
- Verify and scan member proof of insurance to maintain loan compliance and prevent the addition of unnecessary coverage.
Qualifications

- High school diploma or equivalent required.
- Additional coursework or training in office operations, document management, or financial services preferred.
