POSITION DESCRIPTION

POSITION TITLE: Property Accounting Specialist

LOCATION/DEPT: DHQ/Property

PAY GRADE: 403

PAY RANGE: 18.11-21.73

OUTCOMES

Consistent oversight will be provided to the Division's property and insurance office functions that ensures compliance with policy, procedure, and mandate. As a result, the work of the department is completed in a timely and effective manner, according to industry standards and Division expectations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Administrative



  1. Process paperwork and corresponded and create agendas for Leadership
  2. Responsible for filing functions (both paper and electronic) for property projects and other as directed by the Property and Insurance Manager.
  3. Process incoming mail for the Property Department. Scan items as directed by the Property and Insurance Manager.



Financial




  1. Duties include processing of real estate tax payments and reimbursements.
  2. Process payments form contractors, architects, consultants and other vendors.
  3. Maintain financial tracking and accounting of property projects and vacant properties using spreadsheet software or other software implemented by the territory.


Insurance



  1. Responsible for insurance functions including monitoring insurance claims, facilitating receipt of insurance claims payments from Chesterfield and subsequent payment to corps and institutions..


.Office



  1. Responsible for filing functions (both paper and electronic) for property projects, leases, insurance, county tax exemptions and other as directed by the Property and Insurance Manager.
  2. Prepare annual reconciliation between county lists of exempt properties vs. actual.
  3. Maintain property lists spreadsheets for various uses.


Miscellaneous



  1. Provide additional administrative support to the Department as requested.



REPORTING RELATIONSHIPS

This position reports to the Property and Insurance Manager. In contacts related to this position's duties, this individual acts as a representative of The Salvation Army and its mission.

PERFORMANCE MEASURES

This individual will be evaluated on how effectively the outcomes of this position are achieved. Timeliness and accuracy of accomplishing assigned goals will be reviewed. An evaluation of how effectively service is provided.

EDUCATION/ EXPERIENCE



  • High school degree required with business school or college coursework preferred.
  • Minimum of 3 years in managing financial records is required.
  • 2 years of administrative experience preferred.
  • A previous Salvation Army experience preferred.
  • Experience with a computer-based work environment and an excellent working knowledge of Word.

  • Minimum of 3 years of property accounting experience.
  • Excellent communication (verbal and written) and interpersonal skills.
  • Able to use diplomacy and good judgment.
  • Microsoft suite proficiency.

  • Flexibility considering changing job situations/priorities.
  • An understanding of the mission and policies of The Salvation Army.


POSITION LIMITATIONS

This individual will only commit Army resources that have been allocated or approved.

This individual will keep the Property and Insurance Manager informed on all critical issues relating to their area of responsibility.

This individual will adhere to all policies and procedures in carrying out the responsibilities of this position.

PHYSICAL DEMANDS/WORK ENVIRONMENT



  • This position is required to do light physical work.
  • To successfully perform the essential functions of this position, the employee is regularly required to use standard office equipment and a PC.
  • The work environment for this position includes an office environment with a low noise level.
  • Maintain positive work atmosphere by behaving and communicating in a manner that fosters and maintains positive relationships with co-workers and supervisors.
