Administrative Assistant

**Schedule for this Position is Monday - Friday from 7:30am - 4:30pm**

**Starting Pay is $20.60/Hour**

Summary/Primary Purpose: The Administrative Assistant will provide administrative support for Business Operations and Omaha Social Service departments. This position assists the Corps in managing a wide variety of clerical and other general office procedures.

Essential Duties and Responsibilities:



  • Establish and maintain effective working relationships with employees, other agencies, and the public.
  • Draft written responses or replies by phone or e-mail, when necessary, respond to regularly occurring requests for information.
  • Responsible for establishing priorities and meeting deadlines as directed.
  • Keep management team apprised of appointments, office situations, administrative needs, property issues and supplies needed.
  • Manages floater fleet vehicle operations to include mileage documentation, service, insurance, and reservations in compliance with The Salvation Army (TSA) policies and procedures.
  • Responsible for data systems including correspondence, financial materials, and all Corps office related data.
  • Collect data, track, and implement statistics as needed.
  • Preparation of required statistical, financial, reimbursements, deposits and other reports as needed.
  • May attend as assigned committees and meetings, help gather/order necessary items for events, assist and attend events.
  • Track information relating to special projects as assigned, to include United Way, file reviews, and quality assurance reviews.
  • Track/maintain office equipment and order office supplies.
  • Serves as the liaison for the IT department for service calls with copier and phones issues.
  • Responsible for basic accounting functions for Corps to include expense reports, reimbursements, receipts, and other duties as assigned.
  • Serves as emergency support for the Security and Environmental Services department as required.
  • Acts as the primary Courier for the biweekly transport of official mail and funds between Renaissance Village, DHQ and off-site programs.
  • Driving is an essential function of the position.

  • Ricoh Printers coordinator for purchasing supplies, support, maintenance and upkeep
  • Campus Vending Machine Coordinator
  • Warming /Cooling Center Coordinator for Heritage Place
  • All other duties as assigned



Supervisory Responsibilities: None.

Education and/or Experience: High School Diploma or general education degree (GED) required, with 6 months-related experience - Associates degree preferred.

Qualifications: The requirements listed below are representative of the minimal knowledge, skill, and/or ability required for this position.



  • Ability to be flexible and able to work on multiple projects or tasks simultaneously.
  • Intermediate Microsoft Word and Excel skills, and the ability to access payroll, timekeeping, and personal data via a web-based system.
  • Administrative skills include utilization of standard office equipment, data entry, 10-key, attention to details and filing.
  • Basic accounting and/or bookkeeping skills.
  • Good communication skills both written and spoken, and ability to maintain effective working relationships.
  • Demonstrated ability to handle confidential matters.



Other Qualifications: Must pass all applicable background checks. Must possess a valid driver's license from the state in which you reside. Must be approved through The Salvation Army Fleet Safety Program to drive either a Salvation Army or personal vehicle on Salvation Army business.

Certificates, Licenses, Registrations: Must successfully complete Safe from Harm training within 90 days of hire, as established by The Salvation Army.

Physical requirements include good speaking, hearing and vision ability and excellent manual dexterity. Ability to stand, bend, and reach for extended periods of time. This position will require the ability to lift and/or move more than 25 pounds occasionally.

Working Conditions: The work environment is a business office setting with office equipment, light traffic and moderate noise levels.
