Description We are searching for an Executive Assistant/ Legal Administrator to work in our Walnut Creek (Headquarters) office, providing support to our General Counsel and other C-level Executives.
KEY RESPONSIBILITIES
- Provides comprehensive administrative and logistical support to the General Counsel ("GC"), handling tasks like scheduling, correspondence, and project management
- Acts as a point of contact for building management.
- Provides back-up support to the Executive Administrative Manager for the C-Suite ("EAM") and assists with preparation for meetings of the Board of Directors.
- Calendar management: Manages GC's calendar and schedules meetings.
- Subsidiary governance: Assists with Corporate and Subsidiary governance. Drafts subsidiary Board and Shareholder resolutions under the supervision of the GC and maintains electronic minutes books for subsidiaries of Central Garden & Pet. Periodically updates the Survey of Organizational Matters containing corporate details of Central and its subsidiaries.
- SEC filings: Provides support to GC and EAM in connection with SEC filings, including with D&O Questionnaires for Proxy Statement and 10-K. Helps with representation letters for quarterly filings.
- Board meetings: Assists GC and EAM in preparing for meetings of Central's Board of Directors and its committees. Assists with making travel and dinner arrangements for directors, prepares their expense reports, posts materials to Diligent, etc. Manages processes for quarterly fee payments and annual equity grants to directors.
- Contracts: Coordinates signatures for contracts.
- Presentations: Assists GC and EAM with the preparation of PowerPoint presentations.
- Correspondence: Handles incoming mail, email, and voicemails left on switchboard.
- Legal bills and budgeting: Processes bills from law firms and other legal vendors; assists with Legal budgeting.
- Record keeping: Maintains files and records as required.
- Provide backup support to EAM and C Suite
- Supplies: Orders supplies as necessary, including for copiers and kitchen in C Suite
QUALIFICATIONS
- Minimum 3 years previous work experience as Executive Assistant, required
- Preferred 5+ years previous work experience as Executive Assistant and/or Office Manager
- Previous experience working at Legal firm or supporting Legal professionals, strong plus
- Strong organizational and time management skills
- Computer skills required- Outlook, Outlook Calendar, Excel (basic), Power Point, Teams, WebEx (audio/video conference), and various internal systems for expense reports, file share, etc.
- Strong communication and interpersonal skills
- Detail oriented
- Ability to work well independently and accept new tasks with little to no warning
- Works well under pressure
WORKING CONDITIONS
- Office environment- in the office at least 4 days per week.
POSITION INFORMATION
- This position pays $70,000 - 90,000 annually, depending on experience
